BAM Infrastructure are looking to recruit an experienced and motivated Personal Assistant to join our ASTI onshore team. As part of this team, you will play a key part in assisting our Divisional Commercial Manager on a daily basis.

You will be required to work out of our Kilsyth, Scotland office.

Your mission

You will be responsible for the following:

Proactively manage a complex/ busy diary with forward thinking ideas to maximise and prioritise the Director’s time.

Manage the inbox of the Director, ensuring all emails are properly and efficiently dealt with, keeping track of issues that are pending, and follow up relevant responses.

As first point of contact, it is key you will be confident with building and maintaining positive working relationships with a wide group of people and teams internally (e.g. commercial, project delivery & corporate) as well as with peers externally.

Prepare meeting materials – agendas, minutes, and presentations.

Track and manage dashboards, monthly reports etc.

Support both internal and external meetings as required by taking minutes, as well as recording, and following up on actions.

Plan and book travel with the best use of time.

Take ownership of planning, organising, and managing events such as away days, workshops, and conferences - both internally and with external business partners.

Maintain confidentiality and a high level of discretion at all times.

Work with other Business Support’s in the region across all platforms.

Perform any other Business Support related duties or projects as requested.

Who are we looking for?

Essential Skills and Requirements:

Previous Business Support experience working at Director level

Exceptional multi-tasking and prioritising abilities to meet deadline

Confident manner, and great communication skills

Excellent attention to detail, and extremely organised

Excellent knowledge of the Microsoft suite

Ability to adapt quickly, use initiative and have the confidence to work independently
