A day in the life

Our team and business has changed a lot over the last two years, and now we’re excited to welcome a People Coordinator to our team to help us deliver the next stage of our People strategy. This role is ideal for someone looking to build their HR career and grow their experience in a warm and collaborative team environment. Our People team cares about empowering and supporting our teams at every stage of the employee lifecycle. From onboarding to offboarding, we aim to make everyone who works with us feel valued. As a regulated business, we’re committed to ensuring fair and transparent practices for our employees and customers alike too.

As a People Coordinator, you’ll be the first point of contact for queries and support across the business. You’ll manage the People team inbox and assist with a wide range of People processes across employee relations, talent, benefits administration, and our systems (Bob HRIS and Greenhouse ATS). You’ll play a key role in ensuring our employees have a great experience throughout their time with us while working closely with the broader People team on various projects and initiatives, including in-person office support for our London HQ in Farringdon.

Your responsibilities

Employee Relations

  • Respond to employee queries via the People team inbox, ensuring accurate and timely resolutions.
  • Support with the planning and coordination of employee relations activities, including scheduling capability, disciplinary, and grievance meetings in line with company policies.
  • Coordinate and assist with onboarding and exit processes, including setting up and conducting exit interviews, distributing paperwork, and ensuring smooth onboarding and offboarding processes (e.g., equipment returns).
  • Maintain accurate and secure records of People activities, including employee files and documentation.
  • Create and share letters for employee changes or adjustments during their lifecycle.
  • Prepare and share regular reports on metrics like attrition, using data insights to inform People initiatives.
  • Identify opportunities to improve processes and contribute to maintaining a streamlined employee lifecycle.

Team Administration

  • Assist the Executive Assistant and in turn, the Senior Leadership Team (SLT) with diary management, ensuring seamless scheduling and coordination.
  • Support travel arrangements for SLT members, including booking transport and accommodation.
  • Help manage and organise key SLT meetings, providing administrative support as required.
  • Support the Senior Talent Partner with interview scheduling and candidate communication throughout the hiring process.
  • Support the People Platforms Partner with reference checks and right to work checks on our app, Zinc.
  • Assist in coordinating bonding agreements, benefits updates, and other People-related processes, working closely with the Reward and Benefits team.
  • Support the People Advisor in drafting letters confirming role amendments such as flexible working arrangements, maternity information, internal movers.

Systems and Data

  • Use our People system (Bob) to update employee records, generate reports, and ensure accurate data management.
  • Support data tracking and record-keeping for career conversations and employee development.
  • Collaborate with the People Ops Director to communicate updates and new initiatives across the business and on our intranet.
  • Contribute to broader People projects and provide administrative support to the team as needed.

Your Skills And Experience

  • Previous experience working in a People or HR team would be ideal, however we’re open to considering applications from any administrative capacity.
  • You’re used to working in a role and team where confidentiality and discretion will be key to your success.
  • You are adept with MS Office and capable of writing and copy-checking letters with minimal supervision.
  • A customer-first mindset, with a drive to deliver a positive employee experience.
  • Proficiency using SaaS platforms (e.g., Bob, Culture Amp, Greenhouse).
  • Basic knowledge of UK employment law and its application to day-to-day People activities.
  • Excellent written and verbal communication skills, with the ability to share information clearly and concisely.

The interview process

This position has a two-step interview process, which will be held via Zoom.

  • Stage 1 – an informal meeting with a member of the People team. We’ll explain more about the role and how your experience matches up with what we need.
  • Stage 2 – you’ll meet the People Advisor and the Executive Assistant to the Leadership team. This will be a longer interview up to an hour and we’ll ask you some competency questions.
  • Stage 3 – If needed, we may need to hold a final ’30 meeting with our Chief Finance Officer or another senior colleague before extending an offer.

Ways of working

On a typical day you’ll be working from a laptop with a screen, mouse, keyboard, and headset. You’ll be meeting your colleagues on Zoom and keeping in touch regularly via email and Slack too – we’d expect you to be using your computer for around seven hours a day. We’d ask that you have a distraction-free work area and a reliable internet connection with a speed of 25Mbps so you can work effectively. We’ll make sure you have the right home set-up that supports you in the role by providing best-in-class technology, money towards a desk, and vision support.
