Job summary

Securitas UK is seeking a People Coordinator to manage the HRIS (CIPHR), support improvements of HR systems and maintain electronic personnel files in line with GDPR. You will produce HR reports to support People Team decisions and oversee recruitment administration, payroll data, pension submissions and benefits renewals.

You’ll coordinate training, wellbeing activities and general People Team support across the UK, Ireland and Norway, with occasional travel to UK sites.

Qualifications

  • Part-qualified CIPD or willingness to pursue CIPD qualifications.
  • Experience using HRIS and ATS platforms, such as CIPHR, Occy or similar systems.
  • Experience supporting multi-country HR administration.

Responsibilities

  • Manage and maintain the HRIS (CIPHR), ensuring employee records are accurate, complete and updated in a timely manner.
  • Support continuous improvement of HR systems, workflows and digital People processes.
  • Maintain electronic personnel files in line with GDPR, data retention and internal governance requirements.
  • Produce HR reports and dashboards to support People Team activity and business decision-making.
  • Manage and maintain job board postings, ensuring vacancies are accurate and regularly updated.
  • Conduct screening calls for shortlisted candidates and coordinate interview scheduling.
  • Liaise with recruitment agencies where external support is required.
  • Collate, validate and submit accurate payroll data, including starters, leavers, contractual changes and absence information.
  • Prepare and submit pension and benefits data to relevant providers.
  • Support annual benefits renewals and salary/bonus review processes through accurate data preparation and system updates.
  • Administer recognition processes such as long service awards and spot awards.
  • Maintain training records and compliance training trackers within the HRIS.
  • Coordinate training administration, course bookings and related communications.
  • Support wellbeing initiatives and internal engagement activities.
  • Participate in the Charity Committee and, once trained, act as a Mental Health First Aider.
  • Provide general administrative support to the People Team across the UK, Ireland and Norway.
  • Monitor and manage the HR inbox, respond to routine queries and escalate more complex matters to People Partners as appropriate.
  • Support employee relations administration, ensuring records and documentation are complete, accurate and audit-ready.
  • High level of IT literacy, including confident use of Excel, Word, PowerPoint and digital systems.
  • Ability to manage competing priorities in a fast-paced environment.
  • Experience using HRIS and ATS platforms, such as CIPHR, Occy or similar systems.
  • Part-qualified CIPD, or a willingness and interest in pursuing CIPD qualifications.
  • Experience supporting multi-country HR administration.
  • Ability to travel occasionally to UK sites by car or public transport.
