We're seeking an outstanding professional to serve as both Executive Assistant to our CEO and leadership team while also being the welcoming face of our clinic.

Role Overview

This unique dual role requires exceptional organizational abilities, communication skills, and the poise to represent our brand to high-profile clients. You'll provide crucial support to our executive team while creating memorable first impressions and coordinating patient journeys.

Key Responsibilities

Executive Support

  • Manage the CEO's complex calendar, emails, and communications
  • Coordinate leadership meetings, prepare materials, and handle follow-ups
  • Process confidential documents and correspondence
  • Organize domestic and international travel arrangements
  • Anticipate needs and proactively solve problems before they arise
  • Serve as a trusted liaison between the CEO and internal/external stakeholders
  • Serve as the primary clinic greeter, creating a warm, welcoming atmosphere
  • Build genuine relationships with our exclusive clientele
  • Ensure the reception area maintains our luxury aesthetic standards
  • Anticipate patient needs and provide thoughtful, personalized service
  • Embody our brand values in every interaction
  • Manage appointment scheduling, confirmations, and follow-ups
  • Maintain meticulous records within our practiece management system
  • Ensure seamless patient flow throughout the clinic
  • Uphold strict privacy protocols for our high-profile clientele

Multidisciplinary Team Support

  • Participate in patient care team meetings
  • Coordinate communication between specialists for holistic patient care
  • Monitor patient progress in longevity programs and memberships
  • Identify opportunities to enhance the patient experience
  • Support program adherence through thoughtful follow-up

Qualifications

  • 5+ years experience as an executive assistant in a fast-paced environment
  • Exceptional organizational and time management abilities
  • Polished communication skills, both written and verbal
  • Meticulous attention to detail and accuracy
  • Proven ability to handle confidential information with discretion
  • Tech-savvy with proficiency in Microsoft Office, calendar management systems, and CRM platforms
