Sayjo Recruitment are acting on behalf of a client to recruit a
Part Time Receptionist / HR Admin Assistant – 14.25hrs per week.
Our client is looking for a well presented, organised, efficient receptionist, who can assist the HR Manager with various admin tasks.
Working Wednesday, Thursday and Friday 08:15 – 1:00 pm (4.75 hours per day)
Hourly rate of pay £13.13 per hour (£9,729.33 per annum)
Principal Duties:
- To ensure efficient functionality of Reception / Administration, working effectively with job share partner.
- To answer all telephone calls into the company in an efficient and friendly manner and direct to appropriate personnel and to take messages wherever appropriate.
- To report any mis-function of the telephone and door entry systems.
- Meeting & greeting visitors ensuring induction protocols followed.
- General reception administration.
- To communicate effective handover, weekly to job-share partner.
- To support and provide HR administration.
Other Duties:
- To receive internal and external post and distribute into correct pigeonholes.
- To ensure all external post is correctly franked and ensure that franking machine has sufficient credit to meet business needs. Book in parcels for DHL collections.
- Administration tasks:
- TimeNet system updates including absence recording.
- SharePoint – ensure holidays match TimeNet system.
- Credit card orders
- Book travel arrangements as required including flights, hotels and taxis.
- Manage completion of Travel risk assessment forms.
- Air miles / Mileage to record.
- Print off and check all invoices for Amazon, AP executive / Lyreco / Arco / QA
- Check monthly HSBC statement attach invoices for all transactions
- Keep diary of Senior Management Team / managers movements
- Ordering Stationery, kitchen and cleaning supplies and tools for Service Dept.
- Raise and issue purchase orders QA / HR / PPE from LN ERP system.
- Price match from Lyreco
- Manage 2 x business email inboxes for taking appropriate action within a timely manner.
- Maintain PPE (Shoes & Safety glasses) cupboard.
- Data Input and maintenance of various databases.
- To provide refreshments for meeting rooms including ordering of buffets as required.
- Contact appropriate person for permit to work completion / issuing fobs to contactors.
- To carry out any other work or administrative duties, within capability, as required by HR Manager.
Skills and Experience:
- Ability to communicate at all levels.
- Ability to plan and prioritise own work effectively.
- Proficient MS Office skills (Word, Excel, Outlook)
- Experience of SharePoint
- Experience of ERP systems - LN
- A flexible approach to absorb new automated processes
Qualifications:
- GCSE – Maths & English (Grade 5+)
