Job summary

St Giles’ Church in Rowley Regis is seeking a Parish Administrator to support the Incumbent, PCC and wider church community. The role includes managing parish communications, records, and meeting administration to help ensure smooth parish activities.

Part-time, 6 hours a week at £12.71 per hour. The position offers pension auto enrolment and DBS/training updates; applicants should be well organised, reliable and able to work both independently and with others within a Christian ethos.

Qualifications

  • High attention to detail and accurate record keeping in line with GDPR.
  • Comfortable working within the Christian ethos and mission of St Giles’ Church.
  • Experience of church, charity, or community volunteering is desirable.
  • Familiarity with Church of England structures and PCC operations.
  • Experience preparing agendas and taking minutes for parish meetings.

  • Ensuring DBS checks and ongoing training for PCC members are up to date.
  • Liaising with families for funerals as needed.
  • Developing and maintaining a directory of parish contacts.
  • Ensuring communication materials support the church vision.
  • Preparing PCC meeting agendas and distributing minutes.
  • Monitoring stock and keeping the Parish Office organized.

Parish Administrator - St Giles, Rowley Regis

Working Hours: 6 hours a week

Rate of Pay: £12.71 an hour

Holiday: 33.6 hours (5.6 days)

Pension:The organisation will full its obligations under the pensions auto enrolment scheme

Reporting to:The Parish Priest or Churchwardens (during a vacancy)

The Role

The Parish Administrator plays a key role in supporting the day-to-day life and mission of St Giles’ Church, providing efficient and reliable administrative support to the Incumbent, Parochial Church Council (PCC) and wider church community. The role includes managing parish communications and records, assisting with correspondence, meetings and church administration, and helping to ensure the smooth running of parish activities. We are looking for someone who is organised, approachable and able to work both independently and collaboratively in support of the church’s ministry and mission.

Duties include:
  • Ensuring the weekly notice sheet is printed
  • Ensuring church records are organised and inputting and extracting data from databases in line with GDPR
  • Preparing and updating church registers
  • Filing records with the County Records Office, the Local Council and Diocesan Office as required.
  • Ensuring all DBS and training courses are up to date for PCC members and any others in the church where appropriate
  • Liaise with the families for Funerals
  • Developing and maintaining a directory of persons, local government and organisations in the parish
  • Ensuring that all communication materials support the vision of the church
  • Preparing agendas for PCC meetings as well as taking and later distributing the minutes.
  • Monitor stock supplies and equipment in the Parish Office
  • Keep the Church Diary, Log Book and church inventory up to date in conjunction with Churchwardens
  • Ensure all licenses (performing rights, music, copyright etc) are up to date and paid for
  • Represent the church in handling enquiries
  • Support the work of the clergy, Churchwardens and PPC members

The Parish Administrator, from time to time will also carry out any reasonable duties at the request of the Parish Priest that are appropriate for the position. The PCC of St Giles, Rowley Regis is committed to safeguarding and promoting the welfare of children, young people and vulnerable adults. All postholders are expected to share this ethos. The postholder should also be committed to promoting a diverse and inclusive community where all can bring their own identity to their work with the church.
