Job summary

Spire Southampton Hospital is seeking an Outpatient Capacity Coordinator to join our administrative team. The role focuses on managing outpatient capacity, coordinating theatre sessions, and liaising with consultants and secretaries to improve outpatient throughput.

You will build strong partnerships, resolve capacity challenges collaboratively, and provide clear dashboards to SMT, contributing to efficient patient pathways and service delivery.

Qualifications

• Strong administrator skills and experience.
• Demonstrable ability in problem solving and prioritisation skills.
• Swiftly understand the cause of challenges and collaborate with multi- disciplinary teams to resolve.
• Willingness to take ownership and responsibility to deliver solutions.
• Excellent communication and people skills.
• Ability to prioritise and manage own workload.
• Passion for increasing patient throughput.
• Willingness to have difficult conversations with senior clinicians and colleagues to improve utilisation.

Responsibilities

• Manage Out Patients mailbox for email requests for ad hoc clinic capacity, list extensions and cancellations (18 rooms, 2 treatment rooms, 1 minor ops).
• Review systems; liaise with secretaries and OP manager regarding changes and requests for confirmation.
• Build effective partnerships with consultants and secretaries to increase engagement and outpatient utilisation.
• Provide a single point of contact for consultants and secretaries to manage fixed theatre lists and adhoc theatre sessions.
• Work with clinical areas to ensure resources are available to support assigned cases.
• Use Spire utilisation tools and reports to support activity and chair utilisation meetings.
• Create dashboard/reporting information to inform SMT of utilisation status and movements.
• Understand the patient pathway to identify pinch points and prevent issues.
