Job summary

Oxford Health NHS Foundation Trust is seeking a proactive administrator for the Outpatients Department. The role supports the OPD and community sites, acting as the main contact for enquiries and coordinating the administrative team across locations.

The post involves liaising with department admins, collecting statistics to meet deadlines, and working with the Head of Operations to analyse data. Travel across Oxfordshire is required.

Qualifications

  • Provide an efficient administrative/coordinating service to the Outpatient Department and the team across all community sites while being the first point of contact for enquiries.
  • Liaise with the team administrators and support with band 3 roles and responsibilities.
  • Be a main contact between users of the service, maintaining a professional but organized manner.
  • Assist with collecting and collating statistical information within strict deadlines.
  • Exercise initiative to work unsupervised, building relationships with service users and other agencies.
  • Be proactive, a good communicator and input ideas to help move the team forward, with travel across South Oxfordshire and sometimes to North/West Oxfordshire.

  • Support Head of Operations and Operational Support Manager with data requirements and reporting.

Job description

Do you want to be part of a new and exciting team, being involved in the Outpatients Department team across the Primary, Community, Dental Care Directorate?

  • Be responsible for providing an efficient administrative/coordinating service to the Outpatient Department and the team across all community sites whilst being the first point of contact for all enquiries, including coordinating and leading the OPD administrative team.
  • Liaise efficiently with the team administrators who support the department, whilst supporting with band 3 roles and responsibilities.
  • Be a main contact and the channel of communication between users of the service, maintaining a professional but organised manner.
  • Assist the Head of Operations and Operational Support Manager in the collection and collation of statistical information as required whilst adhering to strict deadlines.
  • Exercise initiative to work unsupervised and establish relationships with service users and other agencies from both the public and private sectors.
  • Improve, collate, analyse, and interpret data and information to support the Head of Operations and Operational Support Managers (OSMs). You should be innovative, enthusiastic and looking for a challenge with an eye on success. You will need to be a self starter and a great communicator and willing to input ideas and suggestions to help move the team forward. We would be looking for a candidate to work predominately in South Oxfordshire, but needing to travel to West and North Oxfordshire at times.

Due to the nature of the role, depending on whether you are an external or internal candidate, this will affect whether you are able to do secondment or fixed term. Applicants must have a full valid driving licence and have access to a vehicle for work. Adjustments can be considered in line with the Equality Act 2010 where required.
