Job summary

Salesforce Sites in Aberdeen, United Kingdom, is seeking an Operations Coordinator for maternity cover to provide administrative, operational and coordination support across rental equipment, assets, imports/exports, and repairs.

You will ensure accurate documentation, timely processing of rental and shipment requirements, and clear communication with workshop, sales and operations. The role requires attention to detail, organisation and a flexible team approach.

Qualifications

• Minimum 2 years’ experience in a similar role.
• Competent IT skills with a good working knowledge of Microsoft Office packages and experience with ERP systems an advantage.
• Working knowledge of customs and export control requirements is an advantage.

Responsibilities

• Responsible for ensuring a high level of support to all clients via all modes of communication and building professional relationships.
• Organise despatch of all deliveries, raising all required documentation including customs/export control requirements and liaise with couriers/freight forwarders as required.
• Tracking shipments of goods for sales orders and rental jobs from point of order until equipment return providing updates to clients where necessary.
• Accurate and timely processing of paperwork to ensure effective tracking of all hire equipment.
• Liaise with warehouse to promptly close out any issues relating to receipt/despatch.
• Upkeep of all customs/export control records – ensuring these are accurate and up to date.
• Liaise with couriers/freight forwarders regarding return equipment shipments and imports.
• Liaise with finance department on client invoicing.
• Assist in the day to day running of the office.
• Upkeep of admin tasks such as filing, spreadsheet updates and keeping the ERP system up to date.
