Job summary

Jobtailor in Oxford is seeking an organised administrator to support the Operations team with scheduling, note-taking, and action tracking. You will assist across functions during peak periods and help improve processes while ensuring data accuracy in the CRM.

The role requires strong MS Office skills, experience with databases, and attention to detail. Applicants should be within commuting distance of Oxford and be eligible to work in the UK. DBS check will be required.

Qualifications

  • Proven administration experience in a busy team delivering high-volume output.
  • Ability to balance multiple projects in a fast-paced environment and meet deadlines.
  • Excellent attention to detail.
  • Experience using databases and accurately entering data.
  • Technical proficiency, confident learning new systems, and excellent MS Office skills.
  • Strong verbal and written communication and interpersonal skills.
  • Sensitivity, discretion, and understanding of legal requirements when handling personal information and data.
  • Right to work permanently in the UK for the duration of the fixed-term contract.
  • Live in or within easy commuting distance of Oxford, or be willing to relocate.
  • Enhanced DBS check required; employer will apply on the candidate's behalf.

Responsibilities

  • Support the Operations Manager and Operations Coordinator.
  • Provide general administrative support, including meeting scheduling, note taking, action tracking, and resource preparation.
  • Support different functional areas during peak periods according to programme priorities.
  • Identify and implement improvements to administration, processes, and operations.
  • Maximise the use of technology and software.
  • Track projects and maintain timelines, tasks, and deadlines.
  • Communicate project updates to relevant stakeholders.
  • Collaborate with the team and third parties to administer, test, and improve systems.
  • Maintain the CRM database and keep key data up to date.
  • Conduct research and collect data and feedback for continuous improvement.
  • Create, review, and maintain team guides, best-practice guidance, and workflow documentation.
  • Support recruitment, onboarding, and training for volunteers and temporary workers.
  • Support planning and logistics for meetings and events.

  • Experience supporting or administering Salesforce (desirable)
  • Experience using Asana and Jira (desirable)
  • Experience supporting software testing, including UAT, by following user stories and test scripts (desirable)
  • Right to work permanently in the UK for the duration of the fixed-term contract
