We're looking for an Operations Administrator – not just any admin, but the first point of contact representing our agency, greeting all that walk through our doors. This role is perfect for someone with a warm spirit, a welcoming demeanor, and a knack for making everyone feel at home. If you love connecting with people and have a flair for brightening days, you're the person we're looking for.

Please note, due to the nature of this position, this is a full-time, onsite position based in our London office.

WHAT YOU WILL DO

  • Welcome our employees, clients, vendors, and guests with your friendly demeanor, setting a positive tone for their entire experience with our agency.
  • Handle incoming calls with a cheerful voice, directing inquiries easily and professionally.
  • Be the go-to for receiving, sorting, and distributing all mail and deliveries, ensuring everyone gets their important items promptly.
  • Occasionally, you'll get to order meals for leadership and special clients, adding that extra touch of care and attention.
  • Open our office space, maintaining an inviting and organised front office that everyone is proud of.
  • Keep our staff contact lists, manuals, and databases up to date, proving that no detail is too small for your keen eye.
  • Assist in planning and setting up memorable staff functions and events, adding to our agency's joy and team spirit.
  • Engage with all levels of agency leadership and external clients, showcasing your exceptional communication skills.
  • Supporting I.T and HR on welcoming and coordinating new starters and leavers.
  • Working with the LA office on any leadership coming to the UK office and creating access passes.
  • Ordering weekly refreshments for the office.
  • Being in charge of any facilities requirements in the office, this includes and not limited to any change and move within the UK office.
  • Leasing with the office management company as and when needed.
  • This role also supports the HR Manager so calendar management will be required.

ABOUT YOU

  • 3+ years’ experience in an Operations admin capacity or similar role.
  • A communication wizard, both verbally and in writing, who loves making connections.
  • An organisational guru who thrives in managing multiple tasks seamlessly.
  • A detail-oriented individual who appreciates the little things that make a big difference.
  • A team player who also shines bright working independently.
  • A tech-savvy person comfortable with Microsoft Outlook, Teams, Word, and Excel.
  • Someone with a genuine interest in entertainment marketing and a desire to grow within the industry.
  • Reliable, with a track record of dependable attendance and enthusiasm for new challenges.
