Job Description:

Purpose

The Office Manager (FTC) is a 14-month Mat Cover role starting in July 2025. The role is responsible for overseeing daily office operations, ensuring efficiency, organization, and a productive work environment. Responsibilities include managing administrative tasks, coordinating office resources, supporting staff, and implementing office policies to maintain a smooth workflow. Reporting to the CPO, the Office Manager also serves as a key point of contact for internal and external stakeholders, contributing to the overall success of the organization.

Responsibilities

  • Line management responsibilities for the Front of House
  • Manage relationships with the Landlord and Building Managing Agent
  • Manage contracts for utilities and office suppliers
  • Implement and manage H&S policies including fire safety and security
  • Maintain and develop office policies and procedures
  • Oversee office management spending and budget
  • Order office and studio supplies, manage receipts and expenses
  • Conduct daily building walks to ensure stock of supplies
  • Order furniture as required
  • Ensure regular servicing of lifts, fire alarms, extinguishers, security systems, water and heating systems, and arrange repairs
  • Serve as the first contact for facilities queries
  • Maintain facilities-related paperwork
  • Oversee cleaning tasks and daily cleaning activities
  • Manage security tasks and communication with building activity
  • Manage access to the office and maintain key and access fob inventory
  • Oversee waste management for the building and departments
  • Support sustainability practices in the office
  • Assist Receptionist with lunch and reception cover as needed
  • Support HR with onboarding and building tours for new staff
  • Report weekly to CPO on building-related items
  • Conduct introductory tours and assist HR with onboarding
  • Collaborate with Studio teams on daily operations
  • Work with Creative Director and CEO Assistants on building-related support
  • Assist Private Client team with in-house events

Qualifications, Skills, and Experience Required

  • Experience in a similar role, preferably in a Fashion House
  • Supervisory or management experience in Front of House
  • Highly organized with attention to detail
  • Approachable yet professional
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office packages
  • Ability to work in a fast-paced environment
  • Capable of multitasking and remaining calm under pressure
