Invicro is the world’s leading translational imaging company. Based in London, Boston and New Haven. Invicro specialises in molecular and functional imaging studies to support medical and pharmaceutical research.

The Office Manager is an integral role for Invicro London and is responsible for the day-to-day smooth running of the office and providing general administration support to local Senior Management in London and other employees when required, as part of the wider Invicro team.

The responsibilities of the Office Manager include the following:

  • Ensure the day-to-day smooth running of the office including the coordination of meeting rooms, catering, transport and travel requests, stationery orders etc.
  • Provide administrative support to local Senior Management and other team members, as required.
  • Professionally represent the company by acting as the first point of contact for external queries (by phone and email) and ensuring visitors to Invicro London are welcomed and supported during their visit.
  • Provide administrative support to corporate departments (including HR and Finance).
  • Co-ordinate induction for external research collaborators including managing the induction days.

Office Coordination :

  • Screening all incoming calls through the main site number and transfer incoming calls to the relevant staff/departments.
  • Coordinating meeting room bookings and arrange catering/refreshments for meetings.
  • Coordinate office desk allocations and provide support to employees for the desk booking application.
  • Monitoring stock levels and manage orders for all office supplies (including stationery and office food) ensuring costs are in line with the allocated budget.
  • Liaise with US counterparts to assist in the co-ordination of visits to the London site for international Senior Leadership Team members and other visiting Invicro employees

Administrative Support:

  • •Assisting the V.P. Site Operations U.K. and Senior Leadership Team members as required.
  • Providing support to Senior Managers and other team members as required, including general administrative tasks, arranging travel, scheduling meetings etc.
  • Taking minutes for key meetings, including the London Leadership Team meetings.
  • Providing administrative support to the corporate functions, HR and Finance (e.g. producing and recording contractual documents for external collaborators, collation of expense claims etc.)

Customer and Visitor Relations:

Greeting visitors to the organisation and support their needs during their stay.

Event Management:

  • Planning and manage local corporate events.
  • Lead in planning, promoting and delivering site wide social and charitable events and support employee engagement for the London site.

Employee Communications:

  • Sending out communications on behalf of the V.P. Site Operations U.K. when required.
  • Supporting Senior Management and HR in creating and executing messaging and help to ensure that employees are well-informed and have access to the information and resources they need.
  • Engaging with US counterparts to coordinate and support cross-company communications and team events.

The successful applicant should have excellent IT skills, including Microsoft Office, good communication skills and previous office management experience.
