About the Role
We are looking for a proactive, organised and independent Office Coordinator to support the smooth running of our head office in central Bristol.
This is a varied role covering office administration, facilities, health & safety and general company administration. The successful candidate will be a confident problem-solver who takes ownership, is comfortable working independently and enjoys working with a wide range of people.
Key Responsibilities
- Manage reception, shared mailboxes and incoming/outgoing post.
- Oversee day-to-day office administration, including stock, supplies, recycling and utilities.
- Support office health & safety, including fire safety and maintaining relevant records.
- Manage office-related payments, expenses and receipts.
- Coordinate facilities and maintenance issues, including logging jobs, arranging and supervising contractors and coordinating the handyperson.
- Plan and coordinate regular maintenance and servicing.
- Follow contractor vetting and site procedures.
- Support company insurance renewals and maintain associated documentation.
- Support the management and ongoing requirements of ISO 9001 and ISO 14001, including audit preparation and record keeping.
- Maintain accurate records and filing systems.
- Identify opportunities to improve office processes and efficiencies.

- Previous experience in office administration, office coordination, facilities or a similar role.
- Highly organised with excellent attention to detail.

- Strong written and verbal communication skills.
- Friendly, professional and customer-focused approach.
- Ability to manage multiple priorities and adapt to changing requirements.
- Good working knowledge of Microsoft Word, Excel and PowerPoint.
- Confident maintaining accurate records and following processes.
- Facilities management experience, particularly within a listed or historic building.
- Health & Safety experience or relevant qualifications.
- Experience with ISO certification, audits or compliance management.
