Job summary

Job description

Due to the retirement of one of our long-serving staff members, Oswald Medical Centre is looking to welcome a dedicated full-time Medical Secretary (up to 37.5 hours per week) to our supportive and dynamic team. We are a forward-thinking, award-winning practice serving over 16,250 patients across three sites in Accrington, Oswaldtwistle, and Blackburn.

Main duties of the job

To be responsible for undertaking a wide range of secretarial and administrative duties and providing support to the multidisciplinary team.

Duties include, but are not limited to, processing information (electronic and hard copy) in a timely manner, liaising with team members and external agencies such as secondary care and community service providers, including the use of the electronic referral service (ERS).

Job responsibilities
  • Typing letters, reports, and documentation as required
  • Liaising with external agencies such as hospitals and community services to ensure referrals are processed efficiently
  • Managing all enquiries effectively
  • Maintaining an accurate referrals database
  • Handling all incoming emails and processing calling letters
  • Scanning patient-related documentation and attaching scanned documents to patient records
  • Inputting data into healthcare records as necessary
  • Processing referrals using ERS
  • Supporting the administration team with requests for information such as SARs, insurance/solicitors letters, and DVLA forms
  • Clinically coding data on EMIS Clinical System
  • Answering and transferring incoming phone calls appropriately
  • Managing administrative queries and carrying out system searches
  • Maintaining a clean and organized work area
  • Supporting clinical staff with general administrative tasks

Experience
  • Experience working with the general public
  • Experience in administrative duties
  • Experience as a medical secretary in a healthcare setting
