Job description

We are looking for a dedicated Medical Secretary with a passion for making a difference to others.

You’ll be working full time, 40 hours a week at Victoria House, helping ensure the safe and smooth running of services for the people in our care.

Cygnet Victoria House is a 26-bed mental health inpatient service for men. The service, split across two wards, provides a safe and stabilising environment for men experiencing an acute episode of mental illness requiring emergency admission.

The ethos of our service is about assessing and treating service users in the least restrictive environment and planning for discharge in a robust and timely fashion. With a focus on stabilisation, we support service users to manage their mental health, reinforce daily living skills, and prepare for independent life back in the community.

Our team works closely and collaboratively with service users, their families, and the referrer to provide a seamless pathway from referral to discharge. Our approach is recovery-focused and supported by comprehensive multi-disciplinary teams, contributing to shorter lengths of stay.

Your day-to-day…
  • Provide a high standard of secretarial support to members of the medical team.
  • Maintain good working relationships with clinicians and caring professionals.
  • Attend and take minutes at clinical meetings, hearings, and tribunals.
  • Produce high-quality admission and discharge summaries, tribunal reports, and care plan documents.
  • Create and maintain patient records and paper files.

We are looking for someone who is…
  • Service-oriented, with Medical Secretary experience and knowledge of mental health.
  • Flexible, adaptable, organized, and responsible.
  • An excellent typist, preferably to RSA 2 level, with audio transcription skills.
  • Calm under pressure and able to work independently and as part of a team.
  • A strong written and verbal communicator with excellent interpersonal skills.
  • Highly proficient in Microsoft Office programs, including Excel, Word, and databases.

Successful candidates will be required to undergo an enhanced DBS check.
