Job description

We are a busy friendly inner city practice with high ethnic population, with a list size of approximately 8500.

EMIS Web system user, experience is preferred but not essential as full training will be provided. We are a highly efficient and friendly team who are looking for the perfect fit for our team.

Full time 37.5 hours available

Main duties of the job

General reception and administrative duties such as:

Patient facing interactions, answering the phones, booking appointments, actioning blood forms and prescriptions.

Administrative duties include but are not limited to:

Scanning, summarising, referrals,registrations, workflow and document management.

  • Nursing team includes Nurse Practitioner and 2 Practice Nurses

  • Integrated PCN Clinical Pharmacists, Physician Associates, 1st Contact Physiotherapists, Social Prescriber and Mental Health Workers
Job responsibilities

Job summary:

Receive, assist and direct patients inaccessing the appropriate service or healthcare professional in a courteous,efficient and effective way.

Provide general assistance to the practiceteam and project a positive and friendly image to patients and other visitors,either in person or via the telephone.

Job responsibilities:

Administration

  • To have athorough knowledge of all practice procedures
  • To work inaccordance of written protocols
  • Actioning notes for summarising and updating as necessary
  • Scanning and filing post in medical records
  • Fax andphotocopy as requested
  • Actioning and filing of electronic documents through workflow
  • Completing both admin tasks and your own
  • Registrationsof new patients computer data entry and medical records
  • Processpatients changes of address, name or contact details computer data and medical records (haveknowledge of practice area)
  • Processrepeat prescription requests in accordance with practice guidelines

Reception

  • Receivingpatients, consulting with members of practice team
  • Handingcompleted repeat prescriptions to patient/representative and checkingnames and address and code appropriately.
  • Be able tocover all reception position as necessary

Appointments

  • Processappointment requests for today/future appointments from patients bytelephone and in person.
  • Deal withvisits/requests

Telephone

  • Receivingtelephone calls
  • Forwardingcalls to the correct destination when necessary
  • Takingmessages

Other Tasks

  • Any othertasks allocated by managers

  • In thecourse of seeking treatment, patients entrust us with, or allow us togather, sensitive information in relation to their health and othermatters. They do so in confidenceand have the right to expect that staff will respect their privacy and actappropriately
  • In theperformance of the duties outlined in this job description, thepost-holder may have access to confidential information relating topatients and their carers, practice staff and other healthcareworkers. Health & safety:

Thepost-holder will assist in promoting and maintaining their own and othershealth, safety and security as defined in the practice health & safetypolicy, the practice health & safety manual, and the practice infection controlpolicy and published procedures. This will include:

  • Usingpersonal security systems within the workplace according to practiceguidelines
  • Identifyingthe risks involved in work activities and undertaking such activities in away that manages those risks
  • Makingeffective use of training to update knowledge and skills
  • Usingappropriate infection control procedures, maintaining work areas in a tidyand safe way and free from hazards
  • Activelyreporting of health and safety hazards and infection hazards immediatelywhen recognised
  • Keeping ownwork areas and general/patient areas generally clean, assisting in themaintenance of general standards of cleanliness consistent with the scopeof the job holders role
  • Undertakingperiodic infection control training (minimum annually)
  • Demonstratedue regard for safeguarding and promoting the welfare of children.
