Job Title: Maintenance Coordinator

37.5 hours – 9.00am until 5.30pm, Monday to Friday

Manchester Head Office

Job Overview

To be the residents' first point of contact for reporting reactive maintenance issues, ensuring properties are well maintained and compliant with safety standards, providing residents with a high-quality living experience.

Key Responsibilities
  1. Ensure timely acknowledgment and response to residents reporting maintenance issues.
  2. Maintain regulatory and preventative compliance on nominated sites.
  3. Instruct appropriate contractors to attend repairs within the specified Service Level Agreement (SLA).
  4. Inform landlords of reported issues and any associated costs.
  5. Follow up with contractors to ensure repairs are scheduled and completed within SLA.
  6. Keep residents informed about the progress of repairs and any delays.
  7. Follow up with residents post-repair to ensure work is completed to a good standard.
  8. Source and manage a variety of contractors for different repairs.
  9. Process invoices accurately and ensure timely payments to contractors.
  10. Collaborate with team members to address maintenance and compliance issues requiring collective effort.
Skills, Knowledge, and Experience
  • Customer service or maintenance experience liaising with landlords and tenants.
  • Experience with property management software and lettings is desirable.
  • Proficiency with mobile inventory software, property software (e.g., Salesforce), invoicing software, and Microsoft Office.
  • Excellent organizational and time management skills with keen attention to detail.
  • Customer-facing experience and problem-solving skills are desirable.
  • Strong verbal and written communication skills.
  • Knowledge of property maintenance procedures.
  • Accuracy in reporting and documentation.
Qualifications

Professional qualification from an awarding body such as ARLA is desirable.
