Owen Reed is recruiting for a part-time Receptionist to join our Facilities and Front of House team for a top law firm in London.
You will provide an excellent first impression to clients and visitors, either in person or on the telephone, serving as a link between clients and the firm.
You will also assist the wider office and facilities team with general administration, post-event cleaning, and providing efficient, flexible service to internal clients.
Key Responsibilities of the Receptionist
- Provide a warm, welcoming first impression for clients and staff at reception.
- Answer and record telephone and reception enquiries promptly and courteously, handling visitors and appointments.
- Assist clients waiting in reception, notify fee earners of their arrival, and escort them to meeting rooms.
- Manage all documents and post arriving in the office during the day.
- Log all visitors and items consistently for records.
- Provide refreshments for clients and meetings when requested.
- Support event organization, including cleaning after events.
- Handle client interactions with tact, discretion, and confidentiality.
- Use the Teams system to answer telephone enquiries efficiently.
- Occasionally cover reception at other offices.
- Attend departmental meetings and training as required.
- Prepare and maintain high standards in all meeting rooms before and after use.
- Assist with hosting large events, including setup and cleanup.
- Attend/host events as needed, demonstrating flexibility.
- Manage the day-to-day operation of nine meeting rooms.
- Produce documents, letters, and emails for other teams.
- Perform copying, scanning, and emailing tasks.
- Input data into the CRM system as required.
- Perform other administrative tasks such as web enquiries, faxes, and general email management.
Skills, Experience, and Attributes
- Experience in a Receptionist role within a professional services environment is desirable.
- Experience with general admin duties like filing, scanning, and photocopying.
- Experience handling telephone enquiries and using a switchboard.
- Excellent organizational skills with the ability to prioritize effectively.
- Customer service-oriented attitude.
