Job summary

Simmons & Simmons is seeking a Knowledge Systems Specialist to join the Knowledge Management department in London. The role focuses on administering, adopting and improving knowledge productivity tools, including HighQ, document automation, and AI applications.

You will support users, train teams, manage access and licences, and contribute to governance and analytics while engaging with internal IT and external vendors to drive innovation across the firm.

Qualifications

• Minimum of two years' experience in knowledge systems, legal technology or a similar innovation-focused role within a law firm or legal department.
• Experience of working on Knowledge or IT systems and databases.
• Experience of providing user support and training in a professional services environment.
• Excellent written and oral communication skills.
• Strong IT skills including MS Office (Word, Excel, Outlook, PowerPoint).
• Keen interest in and awareness of the legal sector, legal technology and knowledge management.
• Highly organised, detail-oriented and capable of managing competing priorities in a fast-paced environment, with strong communication skills and the ability to engage effectively with colleagues across the firm.
• Proactive and resourceful, with a problem-solving mindset and a willingness to take initiative.
• A positive attitude and enthusiasm for contributing to the firm's innovation journey are important attributes for this role.

Responsibilities

• Operational support for knowledge productivity tools.
• Develop and build client portals, trackers and workflows using HighQ.
• Update and modify automated templates using Contract Express.
• Update and maintain product and knowledge practice area intranet pages.
• Assist with coordinating and testing product upgrades, content migrations and new functionality.
• Respond to user queries and technical issues.
• Deliver user training and maintain training guides.
• Configure and maintain user access, permissions and licences across the product suite.
• Maintain accurate records of tool licences, users and access permissions.
• Monitor and report usage with analytics dashboards and key metrics.
• Attend account manager meetings and keep up to date with product updates and new tools.
