About The Role
CTS Group is seeking an experienced Lead Document Controller to join our London team and play a key role in supporting the successful delivery of major data centre projects across the UK and wider EMEA region.
Reporting into the Project Controls function, the Lead Document Controller will be responsible for the overall governance, management, and continuous improvement of document control processes across multiple projects. The successful candidate will serve as the subject matter expert for document management systems, ensuring all project information is accurate, compliant, accessible, and auditable throughout the project lifecycle.
This is a leadership role requiring the ability to manage document control activities, mentor junior team members, and work closely with project managers, engineering teams, contractors, consultants, and clients.
Key Responsibilities
Document Control Leadership
- Lead and manage document control activities across multiple data centre construction projects.
- Develop, implement, and maintain document control procedures, standards, and best practices.
- Act as the primary point of contact for all document management and information control matters.
- Support and mentor Document Controllers and project administration teams, ensuring consistency across projects.
- Drive continuous improvement initiatives to enhance document control efficiency and data quality.
Project Documentation Management
- Establish and maintain robust document control systems, workflows, and version control processes.
- Manage the receipt, review, distribution, tracking, and archiving of project documentation, including:
- Technical drawings
- BIM deliverables
- Specifications
- RFIs and submittals
- Contracts and commercial documentation
- Permits and compliance records
- Testing and commissioning documentation
- Handover and close-out records
- Ensure documents are correctly classified, stored, and maintained within project information management systems.
Stakeholder Coordination
- Coordinate the flow of project documentation between clients, consultants, subcontractors, suppliers, and internal project teams.
- Monitor document review cycles and approval workflows, ensuring project deadlines are achieved.
- Provide training and guidance to project stakeholders on document control procedures and systems.
- Support internal and external audits relating to project documentation and information governance.
Reporting & Compliance
- Produce and distribute regular reports on document status, submissions, approvals, overdue items, and project KPIs.
- Maintain auditable records that comply with client requirements, contractual obligations, and CTS standards.
- Ensure compliance with ISO standards, information management protocols, and project governance requirements.
- Support project teams during commissioning, handover, and close-out phases to ensure complete and accurate documentation packages.
Skills, Experience & Qualifications
- Minimum 5-8 years' experience in document control within construction, engineering, infrastructure, or data centre projects.
- Demonstrable experience leading document control activities on large-scale construction projects.
- Strong knowledge of project lifecycle documentation and information management principles.
- Experience working with document management systems such as Aconex, Autodesk Construction Cloud (ACC), Procore, SharePoint, Asite, or equivalent platforms.
- Excellent understanding of document numbering, revision control, transmittals, workflows, and audit requirements.
- Advanced Microsoft Office skills, particularly Excel.
- Strong organisational skills with exceptional attention to detail.
- Excellent communication and stakeholder management skills.
- Ability to manage multiple priorities within fast-paced project environments.
- Full professional proficiency in English, both written and spoken.
Desirable
- Experience working on data centre, mission-critical, or large-scale MEP projects.
- Knowledge of ISO 9001 and ISO 19650 information management standards.
- Experience supporting BIM and digital delivery processes.
- Understanding of commissioning and project handover requirements.
- Degree or equivalent qualification in Construction Management, Engineering, Business Administration, Information Management, or a related discipline.
