Job summary

Wythenshawe Community Housing Group is seeking an Independent Living Hub Assistant to provide a welcoming front‑of‑house service and essential administration within the Independent Living team. You will be the first point of contact for residents, visitors and partners, handling enquiries calmly while supporting daily operations.

You will assist residents with access to support, log repairs, coordinate meetings and manage room bookings, and help with tenancy signups and risk assessments.

Qualifications

  • Experience delivering excellent customer service in reception/administration or housing context.
  • Empathy for older and vulnerable people with strong communication skills.
  • Good organisational skills, able to prioritise and stay calm under pressure.
  • Ability to maintain confidential records and use IT systems responsibly.

Responsibilities

  • Provide friendly, front‑of‑house service; respond to enquiries by phone, email, letter, face to face.
  • Log repairs and coordinate with residents, colleagues and external agencies to resolve issues.
  • Deliver accurate administrative support: record-keeping, documents, meetings, room bookings.
  • Support tenancy sign‑ups, information provision, support plans and risk assessments.
  • Monitor systems (CCTV, door entry, assistive tech) and test pendant alarms.
  • Complete welfare checks and escalate concerns to management.

The Vacancy

We're looking for an approachable and well‑organised Independent Living Hub Assistant to provide a welcoming reception and administration service within our Independent Living team.

You'll be an important first point of contact for residents, visitors and partners, responding to enquiries calmly and professionally while supporting the smooth day‑to‑day running of the service. This is a varied role for someone who enjoys helping people, working collaboratively and making a positive difference for older and vulnerable residents.

What you’ll be doing
  • Providing a friendly and professional front‑of‑house service, responding to enquiries by telephone, email, letter and face to face.
  • Helping residents access the right support, logging repairs and working with colleagues and external agencies to resolve enquiries wherever possible.
  • Delivering accurate administrative support, including maintaining records, preparing documents, arranging meetings and managing room bookings.
  • Supporting tenancy sign‑ups, customer information, support plans and risk assessments.
  • Monitoring systems including CCTV, door entry and assistive technology, as well as programming and testing pendant alarms.
  • Completing welfare checks, recognising changes in residents’ circumstances and raising concerns appropriately with management.
What we’re looking for
  • Experience of providing excellent customer service, ideally within a reception, administration, housing or support environment.
  • Strong communication skills, with empathy for older and vulnerable people and the ability to engage positively with people at different levels.
  • Good organisational skills, with the ability to prioritise work, meet deadlines and remain calm under pressure.
  • Confidence using Microsoft Office and other IT systems, with the ability to maintain accurate and confidential records.
  • Ability to work independently, use initiative and contribute positively as part of a supportive team.
  • A flexible, inclusive and reliable approach, with an understanding of GDPR, confidentiality and the importance of fire safety.

Please note, the successful candidate will be required to complete an enhanced DBS check (Adult's Barred).
