Job summary

Woodland Group is seeking an Import Operations Coordinator for our Asia team based in Chelmsford. The role involves managing the import process, coordinating with suppliers and forwarders, and keeping customers informed of shipment progress.

Hybrid working is available with on-site parking at our head office in Chelmsford. You will work closely with the Operations Manager and teams to ensure accurate documentation and invoicing, with exposure to export operations when required.

Qualifications

• Experience in importing operations (Asia a plus) and understanding of shipping processes.
• Strong written and verbal communication skills.
• Attention to detail and ability to work in a busy environment.

Responsibilities

• Manage all aspects of the import process.
• Obtain and communicate information to meet customer needs.
• Liaise between Suppliers, Forwarders and agents for shipment information.
• Keep customers informed of shipment progress.
• Provide transport companies with information to meet delivery requirements.
• Ensure documentation is on file and billed correctly.
• Cover export operations when required.
• Perform other duties as required by management.

Import Operations Coordinator (Chelmsford, Essex)

Woodland Group are recruiting an Import Operations Coordinator for our busy Asia team in our head office in Chelmsford. The Import Operations Coordinator will report to and work with the Operations Manager and will work closely with customers, clients and agents to ensure efficient deliveries. The role offers the flexibility of hybrid working, with free on-site parking in Chelmsford.

About the role

• Manage all aspects of the import process;
• Obtain and communicate, internally and externally, all necessary information to ensure correct measures are in place and customer needs are met;
• Liaise between Suppliers, Forwarders and agents to obtain up to date shipment information;
• Ensure customers are fully informed of the progress of their shipments;
• Provide transport companies with the relevant information to ensure customer delivery requirements are met;
• Ensure correct documentation is on file and act accordingly as set out in the instructions;
• Maintain all files ensuring they are costed and billed correctly in accordance with procedures provided by management;
• Cover the export operations when required; and
• Any other duties as required by management for the smooth and efficient operation of the department.

Personal Specification

• Minimum 3year plus experience within Ocean Import Trade (Asia preferable but not essential)
• General knowledge of HMRC procedures
• Experience dealing with carrier & co-loaders to arrange release, deliveries
• Knowledge of all associated shipping costs and goo understanding of invoicing customers.
• Good communication skills – written, email & phone
• Attention to detail & well organised key, plus able to perform within a busy, thriving environment
