Job summary
This position can be demanding, primarily involving reception duties with additional administrative responsibilities. It is a fixed-term contract to cover maternity leave for 12 months.
Main duties include:
- Checking patients in at the main reception desk for the imaging department and answering phones.
- Making appointments for the Maternity Ultrasound Department using hospital computer systems.
- Liaising with professional staff to ensure urgent patients are attended to promptly.
- Working multitaskingly and under pressure at times.
Responsibilities:
- Greeting patients with empathy and reassurance, checking them in for appointments, and directing them appropriately.
- Handling patient queries sensitively by phone and in person, advising on imaging modalities, and referring to professional staff when necessary. Managing upset or distressed patients, including aggressive individuals.
- Assessing imaging requests for completeness and appropriateness, providing basic clinical guidance, and following department protocols.
- Overseeing patient wait times, maximizing appointment sessions, and addressing potential delays with solutions.
- Scheduling appointments on CRIS, considering patient conditions, booking transport, and arranging interpreters. Checking menstrual cycle dates for specific exams and providing clinical information to patients.
- Arranging specialist sessions, managing information, beds, rooms, and notifying relevant staff. Sending examination info sheets to wards for patient preparation.
- Liaising with wards, secretaries, outpatients, midwives, and GPs regarding appointments and queries, investigating delays, and managing interruptions efficiently.
- Maintaining the appointment diary, managing staff leave, and optimizing imaging room usage.
- Using imaging department systems like ICE, IPM, CRIS, and CMIS for registration, tracking, and record-keeping, including handling non-attenders and backup procedures.
- Managing payments for examinations, ensuring compliance with procedures, and submitting records as needed.
- Performing general office duties, including stock management, photocopying, filing, and maintaining equipment.
- Responding to emergency calls and maintaining departmental records, including referrals and audits.
- Providing cover for team members to ensure integrated office functions.
- Operating partial booking systems as required.
Person Specification
Qualifications:
- Essential: Good general education, IT skills, ability to multitask and work under pressure.
- Desirable: Competence in Word, Excel, CRISS software.
Experience:
- Essential: Office and reception experience, ability to follow instructions.
- Desirable: Experience working with patients in healthcare.
Skills:
- Essential: Teamwork, communication, organizational skills.
- Desirable: Prioritization and time management skills.
