Job summary

Magnet in Darlington is seeking a highly organised Hub Store Coordinator to join our operations team. You will oversee communications between Hub Store Operatives, the Central Operations Team and field projects, and you will manage orders, deliveries and invoicing processes to ensure smooth customer service.

You will monitor credit limits, help resolve invoice queries, and coordinate remedial or replacement items with field teams.

Qualifications

  • Strong administrative and coordination experience.
  • Excellent communication across multiple teams.
  • High level of attention to detail and accuracy.
  • Strong organisational skills with multiple priorities.
  • Experience processing orders and handling queries.
  • Good understanding of invoicing, POs, credit control and debt.
  • Proficiency in Microsoft Office, especially Excel and Outlook.
  • Proactive and solutions-focused.
  • Ability to work independently and within a team.

Responsibilities

  • Monitor and coordinate communications between Hub Store Operatives, Central Operations and Projects Field Teams.
  • Process customer orders and amendments for field teams and Hub Store.
  • Capture and maintain accurate purchase order details for dispatch and invoicing.
  • Schedule and coordinate delivery dates to meet customer expectations.
  • Verify and monitor customer credit limit prior to processing orders.
  • Manage aged debt and resolve invoice queries promptly.
  • Coordinate remedial and replacement items with field teams and Hub Store Ops.
  • Maintain high accuracy to deliver excellent service to projects customers.
  • Build and maintain effective stakeholder relationships to support excellence.

We are looking for a highly organised and detail-oriented Hub Store Coordinator to join our team. This role plays an important role in ensuring seamless communication and coordination between Hub Store Operatives, the Central Operations Team, Projects Field Teams, and customers.

You will be responsible for managing orders, scheduling deliveries, monitoring financial processes, and ensuring compliance with established operating procedures.

What you’ll be doing:
  • Monitor and coordinate communications between Hub Store Operatives, the Central Operations Team, and Projects Field Teams
  • Process customer orders and order amendments on behalf of field teams and the Hub Store, ensuring a smooth and efficient process
  • Capture and maintain accurate purchase order details to enable timely dispatch and invoicing
  • Schedule and coordinate appropriate delivery dates to meet customer expectations
  • Verify and monitor customer credit limit availability prior to order processing
  • Manage aged debt and resolve invoice queries in a timely and professional manner
  • Coordinate remedial and replacement items between field teams and the Hub Store Operations Team
  • Maintain a high level of accuracy and attention to detail to deliver an excellent service to Projects customers
  • Build and maintain effective working relationships with internal stakeholders to support operational excellence
