Job summary

Kent is seeking an HR Coordinator based in Woking to join the UK People & Culture team. You will support onboarding, employee lifecycle, payroll, and HR systems, acting as a first point of contact for staff and managers locally in a busy office.

The role follows a hybrid model with four days in the Woking office and one remote day, and you will help ensure accurate records, GDPR compliance, and timely HR reporting across the UK business.

Qualifications

  • Educated to degree level or similar.
  • Previous Administration experience.
  • Good working knowledge of Microsoft Office applications.
  • Experience of Oracle HR Database (advantageous).
  • SharePoint experience (advantageous).
  • ATS experience (advantageous).

Responsibilities

  • Coordinate onboarding activity for new employees and contractors.
  • Conduct Right to Work checks and ensure UK immigration compliance.
  • Coordinate and deliver employee inductions.
  • Support employee lifecycle processes including changes to employment, transfers, promotions and leavers.
  • Coordinate probation reviews and ensure timely completion of documentation.
  • Maintain accurate employee records and HR data within Oracle.
  • Ensure data integrity across HR systems and employee records.
  • Manage the PX Helpdesk and respond to employee queries.
  • Produce regular HR reports and support people data analysis.
  • Maintain HR documentation, trackers and filing in line with GDPR.
  • Provide administrative support across the wider UK HR team.
  • Support monthly payroll processing and ADP administration.

About the job:

Kent is looking for an HR Coordinator to be based in Woking. An exciting opportunity has arisen for an experienced and proactive HR Coordinator to join the UK People & Culture team. Reporting to the local HR Business Partner, the HR Coordinator will play a key role in supporting the delivery of an efficient, responsive and high-quality HR service within our growing Woking office. The role will be responsible for coordinating employee lifecycle activity, onboarding, IR35 compliance, payroll administration and HR systems management, whilst acting as a first point of contact for employees and managers on routine HR matters locally. The successful candidate will be highly organised, detail-oriented and passionate about delivering an exceptional employee experience. We follow a hybrid working model that combines office and remote work, with a requirement to be in the Woking office four days a week. This approach supports the development of a strong and effective team dynamic within the Woking office.

Skills & Responsibilities:
  • Coordinate all onboarding activity for new employees and contractors.
  • Conduct Right to Work checks and ensure compliance with UK immigration requirements.

  • Support employee lifecycle processes including changes to employment, transfers, promotions and leavers.
  • Coordinate probation reviews and ensure timely completion of associated documentation.
  • Maintain accurate employee records and HR data within Oracle.
  • Ensure data integrity across all HR systems and employee records.
  • Manage the PX Helpdesk, responding to employee queries and escalating issues when required.
  • Produce regular HR reports and support people data analysis.
  • Maintain HR documentation, trackers and filing systems in line with GDPR requirements.
  • Provide administrative support across the wider UK HR team.
  • Support monthly payroll processing and administration through ADP.
  • Coordinate employee benefits administration and employee changes.
  • Coordinate Occupational Health referrals, appointments, and review meetings to support any recommended flexible working arrangements and workplace adjustments.
  • Support contractor lifecycle processes, including status changes, rate increases, extensions, leavers and IR35 compliance.
  • Assist with visa and immigration administration.
  • Ensure compliance with company policies, procedures and legal requirements.
  • Support audits and compliance activities as required.
  • Provide first-line support to employees and managers on routine HR queries.
  • Support employee relations, performance management and absence management administration.
  • Assist with coordinating meetings, documentation and correspondence relating to people matters.
  • Support employee engagement, wellbeing and inclusion initiatives.
  • Help facilitate local HR activities and initiatives within the Woking office.
  • Identify opportunities to improve HR processes and employee experience.
  • Support implementation of HR projects and wider People & Culture initiatives.

In addition to the responsibilities listed herein, the employee may be required to perform other ad-hoc tasks as needed or directed by the supervisor or management. These tasks will be within the reasonable scope of the employee's skills, capabilities, and role within the organization. Yourknowledge/skills,education,andexperience:
  • Educated to degree level or similar.
  • Previous Administration experience.
  • Good working knowledge of Microsoft Office applications.
Advantageous Experience:
  • Previous HR Administration / Coordination experience.
  • Experience of Oracle HR Database.
  • SharePoint experience.
  • Previous ATS experience.
Communication:
  • Excellent command of the English language in both oral and written communication and skills.
