Qualifications

  • Undergraduate student or above; preferred majors include HR, BA, Psychology, Law or Data Analysis.
  • HR internship or part-time experience preferred but not essential.
  • Fluent in English and Chinese preferred.
  • Strong attention to detail and ability to handle confidential information.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint).
  • Good organisational and time management skills with ability to multitask.
  • Basic knowledge of UK employment practices, GDPR or HR processes is a plus.

Responsibilities

  • Act as a first point of contact for employees on HR policies, procedures and benefits.
  • Support employee lifecycle: onboarding, offboarding, contract renewals and file management, GDPR compliant.
  • Assist recruitment: interview scheduling, candidate communication, feedback follow-up and docs prep.
  • Maintain annual leave records and team-building budget tracking.
  • Support performance management data collection and bonus calculation processes.
  • Assist payroll with employee change data and payroll accuracy checks.
  • Support vendor management for HR services, including contracts, cost analysis and invoicing.
  • Maintain monthly staff list and provide HR data reporting and analysis support.
  • Support HR projects and operational improvements as required.
  • Complete other tasks assigned by the line manager.

Job Overview

We are looking for a part-time HR Assistant to support the HR team with daily HR operations, employee lifecycle administration, recruitment coordination, payroll and performance data support, vendor coordination, and other HR-related tasks.

Key Responsibilities
  • Act as a point of contact for employees who have queries regarding HR policies, procedures, and benefits.
  • Support the employee lifecycle process, including onboarding, offboarding, contract renewals, and personnel file management, ensuring compliance with GDPR and internal policies.
  • Support recruitment processes, including interview scheduling, candidate communication, feedback follow-up, and recruitment document preparation.
  • Maintain and track annual leave records and team-building budget usage.
  • Support performance management cycles, including data collection, document preparation, and assistance with bonus calculation.
  • Support payroll processes by preparing employee change data and assisting with payroll accuracy checks.
  • Assist with procurement and vendor management for HR-related services, such as insurance providers, including contract renewal, cost analysis, invoice processing, and payment follow-up.
  • Maintain the monthly staff list and provide ad-hoc support in HR data preparation, reporting, and analysis.
  • Support HR operational improvements and participate in HR-related projects when required.
  • Complete other tasks assigned by the line manager.
Requirements
  • Undergraduate student or above; major in Human Resources, Business Administration, Psychology, Law, Data Analysis, or related fields is preferred.
  • Previous HR internship or part-time working experience is preferred but not essential.
  • Good written and verbal communication skills in both English and Chinese are preferred.
  • Strong attention to detail, sense of responsibility, and ability to handle confidential information appropriately.
  • Good working knowledge of Microsoft Office, especially Excel, Word, and PowerPoint.
  • Good organisational and time management skills, with the ability to follow up on multiple tasks.
  • Basic knowledge of UK employment practices, GDPR, or HR processes would be an advantage.
