Summary of Role:

The HR Assistant provides practical, professional support across the Human Resources function, with a particular focus on employee relations and the effective delivery of people processes. Working closely with the HR Advisor and wider HR team, the role will support formal and informal HR casework, attend meetings and hearings, produce accurate minutes and associated documentation, and help ensure matters are progressed consistently, fairly and in line with company procedures.

Alongside this, the HR Assistant will play a key role in the effective delivery of the employee lifecycle, including coordinating the end-to-end onboarding of new starters and staff transfers. The post holder will work closely with HR colleagues, hiring managers, employees and external providers to ensure onboarding and associated compliance requirements are completed accurately and within agreed timescales.

The role will also support the maintenance of accurate employee records and HR systems, reporting and general HR processes, ensuring employee information is accurate, confidential, accessible and audit ready, and that HR activities comply with company, client and regulatory requirements.

Key Deliverables:

Employee Relations

  • Support the HR Manager, HR Advisor and wider HR team with employee relations casework, including investigations, disciplinary, grievance, capability, absence and other formal people processes.
  • Attend formal and informal HR meetings, taking clear, accurate and impartial minutes and recording agreed actions.
  • Prepare meeting packs, invitations, outcome correspondence, case documentation and supporting records, ensuring documents are accurate, timely and appropriately stored.
  • Maintain ER/IR case trackers and records, monitoring key dates, actions and documentation to support the effective progression of cases.
  • Handle employee relations information with a high level of discretion, confidentiality and professionalism.

Onboarding & Compliance

  • Coordinate the end-to-end onboarding process for new employees and staff transfers.
  • Manage pre-employment checks and onboarding requirements, ensuring all documentation is completed prior to start dates.
  • Administer the BPSS vetting process, including collecting, verifying, submitting, and tracking relevant documentation.
  • Liaise with candidates, employees, hiring managers, HR colleagues, and external agencies to ensure onboarding activities are completed within agreed timescales.
  • Monitor onboarding progress and maintain accurate onboarding records to support compliance requirements.
  • Support mobilisation activities and workforce planning by ensuring personnel meet project and client onboarding requirements.
  • Ensure employee records and supporting documentation remain audit ready and compliant with contractual and regulatory obligations.

HR Operations & Employee Lifecycle

  • Provide day-to-day administrative support across the full employee lifecycle.
  • Prepare and issue HR documentation including contracts of employment, offer letters, contract amendments, confirmation letters, and other employment-related correspondence.
  • Maintain accurate and up-to-date employee records, always ensuring data integrity and confidentiality.
  • Act as the first point of contact for routine HR queries, escalating complex matters where appropriate.

Ensure all personal and sensitive information is processed in accordance with GDPR and company policies.

Minimum Qualifications/ Experience:

  • CIPD Level 3 qualification (or equivalent recognised HR qualification).
  • Previous experience in an HR Assistant, HR Administrator or similar HR support role, with exposure to employee relations activity.
  • Experience attending HR or employee meetings and producing clear, accurate and impartial minutes or formal notes.
  • A good working knowledge of HR policies, procedures and employment law principles, with an understanding of when matters should be escalated.
  • Experience using HR systems and maintaining accurate employee and case records.
  • Strong written communication skills, with the ability to prepare professional HR correspondence and documentation
  • Strong IT skills, including Microsoft Office applications.
  • Excellent organisation, attention to detail and the ability to manage competing priorities and sensitive deadlines.
  • Able to handle confidential, sensitive and employee relations information appropriately and professionally.

Desirable

  • Understanding of HPC Onboarding requirements
  • Experience supporting disciplinary, grievance, investigation, absence, capability or consultation processes.
  • Experience producing HR reports or maintaining employee relations case trackers.
