Job summary

Dalkia UK is seeking an HR Support Specialist to lead the HR Shared Services administration team, delivering accurate and compliant HR operational support across the organisation. You will work with the HR Operations Manager and stakeholders to translate requirements into well-documented processes.

  • Proven experience in HR shared services or HR operations, with responsibility for team leadership.
  • Strong capability in process mapping, flow-chart creation and HR documentation management.
  • Excellent understanding of HR administration and operational workflows.
  • Strong stakeholder engagement and relationship-building skills.
  • High attention to detail, with a structured, methodical approach.

Responsibilities

  • Deliver consistent, high-quality HR Shared Services support across the employee lifecycle.
  • Manage and prioritise HR administration activities to meet service standards and deadlines.
  • Apply HR policies, procedures and working rules accurately and consistently.
  • Maintain accurate HR records, trackers and employee data, and support effective use of HR systems.
  • Deliver key operational activities such as reward processes, contract administration and compliance checks.
  • Act as a visible, approachable HR contact for employees and leaders across Dalkia, building strong relationships across departments and Group.
  • Engage with managers, employees and representative forums to gather insight and feedback.
  • Support the rollout of HR processes through clear guidance, training and communication, including coaching and constructive feedback.
  • Contribute to HR projects and initiatives by sharing process expertise.
  • Manage workload and priorities effectively to meet service standards and deadlines.
  • Demonstrate accountability for accuracy, quality and confidentiality in all HR activities.
  • Maintain up-to-date knowledge of HR policies, processes, systems and legislation.
  • Provide operational reporting and insights to support HR decision-making.
  • Document and maintain HR processes, procedures and guidance to ensure clarity and consistency.
  • Identify and support improvements to HR processes to increase efficiency and reduce risk.

The role

As HR Support Specialist, you'll lead our HR Shared Services administration team, ensuring the delivery of efficient, accurate and compliant HR operational support across the organisation. Working closely with the HR Operations Manager and key stakeholders, you'll build strong relationships to understand operational requirements and translate these into effective, well-documented HR processes that support both the business and the employee experience.

This role is offered on a full-time basis (36.5 hours per week); as part of our commitment to flexibility, we're happy to discuss how this role could be worked flexibly with the right candidate.

What We're looking for
