Job summary

British Japanese Food Company is seeking a Sales Admin at Acton Office to handle orders, issue invoices, and manage export paperwork. You will liaise with warehouses in the UK and the Netherlands and maintain clear records for each customer.

Fluent written and spoken English, prior administration experience, and strong communication with customers are essential. Japanese language skills are a plus, and a proactive, flexible approach will be valued in this busy team.

Responsibilities

• Enter and process sales orders for all customers, liaising with UK and Netherlands warehouses and issue final invoices upon receipt of CMR
• Prepare and completion of all documentation needed for customs (COA, Export Certificate, Health Certificates, etc)
• Completion of product forms/ promotion forms
• Maintenance of clear records for each customer file and updating procedures
• Respond to enquiries from customers
• Ensure compliance with export and international trade requirements
• Assisting sales managers when needed
• Monitor payment status for pending orders with payment issues
• Daily communication with warehouses and troubleshooting logistic/supply problems
• Coordinate stock allocation and set up rationing plan
• Work with current transport companies to ensure on-time deliveries
• Comply with Incoterms requirements
