We’re looking for an experienced Financial Administrator to join our friendly and professional team at Trevor Downing Financial Management – a well-established independent financial advice firm with over 35 years’ history supporting clients across Surrey and Kent.

You’ll be joining a collaborative team that includes four Financial Advisers, two other Administrators, and outsourced Paraplanners. This role is central to the smooth running of our advice process – ideal for someone organised, proactive, and confident managing a busy workflow with accuracy and care.

Financial Administrator – Join a Growing, Supportive Advice Team

You’ll be joining a collaborative team that includes four Financial Advisers, two other Administrators, and outsourced Paraplanners. This role is central to the smooth running of our advice process – ideal for someone organised, proactive, and confident managing a busy workflow with accuracy and care.

Role Summary – Core Responsibilities

This new position provides essential administrative support across the advice team and acts as the key coordinator for annual reviews and Letters of Authority (LOAs). You will own specific recurring workflows and be expected to manage them end-to-end with limited supervision. The core tasks include:

  • Managing the full LOA process – submitting, tracking, and chasing providers
  • Maintaining and updating client records in Intelligent Office/our CRM system.
  • Supporting clients and advisers via provider portals and platforms
  • Coordinating the annual review process, including scheduling meetings and preparing review packs
  • Handling basic client servicing and transactions, such as switches, withdrawals, and fund top-ups

These responsibilities form the foundation of the role and will be the focus of your day-to-day work.

Additional Responsibilities

You’ll also support wider adviser activity and team operations, including:

  • Submitting and tracking applications across pensions, investments, and protection
  • Preparing client documentation and valuations ahead of meetings
  • Assisting in workflow management using tools such as CashCalc, Voyant, and FE Analytics
  • Liaising with providers and clients to follow up on outstanding tasks
  • Ensuring compliance and internal processes are followed consistently
What We’re Looking For
  • Prior experience in a Financial Planning or IFA admin role (essential)
  • Good working knowledge of pensions, ISAs, platforms, and general client servicing
  • Familiarity with using provider portals and back-office systems like Intelligent Office
  • Strong attention to detail and time management skills
  • A team player with a proactive, can-do attitude
  • Comfortable working in a small but busy office environment
