Ramarketing, an international marketing agency specializing in life sciences, is seeking a Finance and Operations Administrator for a 6-month fixed-term contract in Newcastle upon Tyne. The role involves supporting finance operations, managing invoices, and assisting with onboarding and logistics. Job purpose
As a Finance Assistant, you will play a key support role in ensuring the smooth operation of our finance and business administration processes. Your responsibilities will span managing the finance inbox, processing expenses and invoices, reconciling credit cards and supplier statements, and supporting event-related financial logistics. You’ll also help onboard new employees, coordinate travel arrangements, and provide practical support for our upcoming office move. Working closely with the Finance, IT and Operations teams, and other support teams, you’ll bring structure, accuracy, and a proactive mindset to every task, contributing to our operations' overall efficiency and effectiveness.
Key Responsibilities:
Finance Support
Monitor and manage the finance inbox, handling queries and ensuring timely follow-up.
Process staff expenses and reconcile corporate credit card transactions
Assist with supplier setup, invoice processing, and payment scheduling.
Perform supplier statement reconciliations and contribute to month-end activities.
Ensure finance processes and controls are followed accurately
Client Administration
Support the Events Manager with administrative tasks related to supplier setup, contract handling, and payments.
Maintain clear records and liaise with external vendors as needed
People
Assist with new employee onboarding logistics, such as arranging and posting IT equipment, scheduling introductory meetings, and preparing onboarding materials.
Book travel and accommodation for staff when required
Provide practical support for the upcoming office move (e.g. coordinating logistics, vendor liaison, office setup tasks)
Cross-Functional Admin Support
Provide ad-hoc support to the Head of People, Talent Lead and Cyber Security Manager for administrative projects and processes.
Ensure smooth coordination and communication across departments

Key Requirements:
Qualified by experience or relevant training in finance or business administration
Proficient with finance systems and invoice/expense processing tools
Solid understanding of basic accounting principles
Highly organised with a strong attention to detail
Excellent communication skills across all levels of the business
Self-motivated, eager to learn, and willing to speak up when needed guidance
Comfortable following processes and managing competing priorities
Adaptable and able to work efficiently in a fast-paced environment
Confident in handling logistics and liaising with both internal teams and external suppliers
