Job summary

White Recruitment Limited is seeking an Ocean Freight Export Coordinator to manage sea freight export and cross-trade shipments, ensuring accuracy, deadlines, and compliant invoicing. You will build strong relationships with customers and colleagues while maintaining documentation and SOPs.

You will prepare customs export declarations, report to the line manager, and contribute to continuous improvements in workflows.

Qualifications

• Minimum of two years’ sea freight export experience.
• Knowledge of sea freight imports is advantageous.
• Strong understanding of logistics processes and procedures.
• Excellent administrative and organisational skills with high attention to detail.
• Ability to prioritise workloads and meet deadlines.
• Good IT skills, including Word and Excel; Excel reporting experience.
• Excellent written and verbal communication.
• Strong analytical and problem-solving abilities.

Responsibilities

• Manage sea freight export and cross-trade shipments, ensuring activities are completed accurately and on time.
• Complete financial, legal and invoicing transactions.
• Prepare and complete customs export declarations accurately.
• Ensure all operational activities and shipment documentation meet deadlines.
• Report amendments to customs declarations to the line manager immediately.
• Maintain accurate records and utilise the operational system effectively.
• Maintain regular communication with the line manager, providing updates on new sales leads and handovers.
• Assist in maintaining and updating SOPs.
• Build and maintain strong customer and internal relationships, providing regular feedback to the line manager.
• Follow up on overdue customer payments in conjunction with credit control.
• Communicate quotations to line manager and sales team; record quotations on the system.
• Identify and implement improvements to customer workflows and operational efficiencies.
• Complete export and client invoicing within 48 hours of final activity.
• Ensure insurance charges are applied correctly and report insurance claims to line manager.
• Provide holiday and sickness cover when required.
