Job summary

University Hospitals Dorset NHS Foundation Trust is recruiting a Failsafe Officer to ensure high-quality failsafe systems for Antenatal and Newborn Screening (ANNB) programmes. The post holder will support the Screening Co‑Ordinator in developing and delivering the ANNB screening service in line with National Screening Committee requirements.

You will work with multidisciplinary teams to ensure timely screening, manage data entry and records, and implement failsafe checks under supervision.

Qualifications

  • GCSE English and Maths at minimum; basic admin skills required.
  • NHS experience or familiarity with healthcare settings preferred.
  • Experience in data collation and clerical tasks within a multi-disciplinary team.

Responsibilities

  • Deal with enquiries for clinical teams by phone, in person or email within agreed limits.
  • Ensure timely, friendly and efficient handling of all enquiries and referrals.
  • Coordinate with screening midwives and MDT members and liaise with teams as needed.
  • Transmit care delivery information electronically or on paper and alert teams of urgent results.
  • Flag potential breaches in screening pathways to the Screening Co-ordinator with remedial actions.
  • Maintain accurate records in line with the Trust policy.
  • Provide admin cover across the managed service during leave or sickness.

Job overview

The Failsafe Officer will ensure that robust, high quality failsafe systems are in place for large and complex Antenatal and Newborn Screening (ANNB) programmes . The post holder will support the Screening Co-Ordinator in ensuring that the ANNB screening service is continuously developed and delivered in accordance with the Failsafe requirements outlined by the National Screening Committee to the population of pregnant birthing people and newborn babies.

Main duties of the job

To work closely with the multi-disciplinary teams to ensure eligible women are offered timely antenatal and newborn screening in line with national and local guidance.

To oversee the input of information, including examinations, results and appointment to ensure they are accurately entered onto local and national databased via failsafe processes.

To implement and carry out failsafe checks for the ANNB Screening Programmes under the supervision of the ANNB Screen Co-Ordinate.

Detailed job description and main responsibilities
  • Deal with enquiries on behalf of the clinical teams either by telephone, personal contact or correspondence, within agreed limits and take appropriate action i.e. ensure appropriate documentation is available
  • Ensure that all enquiries made both by telephone and in person, are dealt with in a friendly, helpful and efficient manner and, where necessary, an appropriate referral is made.
  • To be confident and competent when dealing with patients during telephone conversations, and act accordingly and liaise with the screening midwives or members of the multi disciplinary team e.g. ward / community matrons.
  • Transmit information relating to the delivery of care services either electronically or on paper - Alert the clinical teams of any urgent or abnormal test results as required
  • Alert the Screening Co-ordinator of any impending breaches within the screening pathways with identified remedial action required
  • To be responsible for maintaining accurate and comprehensive records in line with the Trust's records management policy
  • Provide administration cover to colleagues across the Managed service in times of leave and sickness.

  • Good general education including GCSE in English and Maths (grade 4-9 or equivalent). NVQ 3 Business Administration or Team Leadership or Customer Care or equivalent qualification / experience. RSA III or equivalent level of skill gained through experience or alternative qualification.
  • Previous Experience of working in the NHS

  • Experience with Data collation and analysis. Significant clerical/administrative experience within customer care environment or similar. Experience of working under pressure. Experience of working as part of a team in a mutli-disciplinary environment.
  • Good working knowledge of Maternity digital systems Knowledge of the five National Antenatal and Newborn Screening Programmes
