Job summary

University Hospitals of Leicester NHS Trust is seeking an experienced administrative professional to manage Breast Assessment Clinic clerical functions. You will coordinate the Assessment team, prepare MDTs and ensure data accuracy across NBSS and related systems, while maintaining high standards of confidentiality and patient information handling.

The role requires strong IT skills, excellent communication, and the ability to work across multiple NHS pathways within a busy Breast Screening

Qualifications

  • Math and English GCSE or equivalent.

  • Excellent standard of written and spoken English.
  • Knowledge of medical terminology and NHS procedures is desirable.

Responsibilities

  • Provide effective management, administration and coordination of all clerical procedures for Breast Assessment Clinics.
  • Oversee the Assessment team and ensure staff are trained and competent for clinics.
  • Prepare MDT meetings and attend Breast MDTs with results and notes for patients.
  • Maintain data accuracy and timely entry into NBSS and related systems.

Detailed job description and main responsibilities

The post holder will be responsible for the following key areas:

  • Identify potential breaches and solutions of National Quality Assurance targets in waiting times to assessment to the Administration Manager and the Screening Director.
  • Ensure data accuracy to support Clinical Governance and Audit both locally and nationally.
  • Attendance and participation at Breast MDTs. Collation of results and notes in preparation for client's attending Breast Screening Results Clinics.
  • Provide support and guidance to patients and others making contact with the service.
  • To ensure all pathology relating to procedures and surgery performed are recorded on the NBSS.
  • Support both the Administration Manager and the Deputy Administration Manager in the management and leadership of the Breast Care Centre Administration & Clerical (A&C) team.
  • To oversee the Assessment Admin Team and ensure delivery of assessments and services.
  • To assist as trainer and mentor for clerical staff.

KEY RESULT AREAS
  • Provide effective management, administration and co-ordination of all clerical procedures concerning Breast Assessment Clinics in accordance with National Quality Assurance Guidelines. Ensuring Clinic Co-ordinators are fully briefed and prepared for all Breast Screening Assessment Clinics.
  • Oversee and lead the Assessment team ensuring all staff are fully trained and competent to prepare and sit the clinics.
  • To take responsibility for the preparation of the MDT meetings.
  • Attendance and participation at Breast MDTs. Collation of results and notes in preparation for client's attending Breast Screening Results Clinics.
  • Ensure that all clinical correspondence meets NHSBSP quality and performance targets.
  • To ensure that the pathological data entered on to NBSS following the results clinics is entered accurately and promptly.
  • To be responsible for clinical reports and discharge letters prioritising the workload according to agreed protocols.
  • To provide correct inputting and retrieval of patient information using Somerset and observing the 62 Cancer pathway.
  • To ensure that clinical correspondence to GPs recording the outcome of patient's attendance meets the 24 hour performance target.
  • Personal capacity to organise and maintain data collection and collation from widespread multidisciplinary team.
  • Provide medical records required by Consultants for follow-up using the Track it system.
  • To be fully conversant with the National Breast Screening, Radiology (CRIS) Pathology (ilab) and Open Exeter computer systems, Patient Centre, Somerset and have an overview of the Hiss patient management system.
  • Provide an effective service to patients, GP's and others requiring information and assistance.
GENERAL DUTIES
  • Actively participate in training, sharing skills, experience and previous knowledge within the clerical team aiding the spread of good practice and continuing improvement. As a team be responsible for the cover of sickness and absence amongst team members, ensuring that the service within the Centre is maintained at the required level.
  • To attend in-service and external training and meetings as part of your personal development plan and/or team training plan, to ensure that you skills and knowledge are kept up to date and appropriate for the changing environment in which we operate. Undertake any other duties deemed appropriate by the Administration Manager.
  • Use health related information only for its intended purpose and in accordance with the Data Protection act.
  • Ensure confidentiality is maintained at all times and information relating to clients/patient/users and personnel is used only in connection with authorised duties.
  • Assist and contribute to the efficient use of stock, sundries and resources within own work activities.

Please note if you are successful in obtaining this position and the post involves regulated activity you will be required to undertake a Disclosure & Barring Service check.

The Trust will pay for the check initially and the money will then be deducted from your salary over a three month period commencing on your first month's payment.

The current price of a check is £38 for an enhanced and £18 for a standard check.
