Runnymede Borough Council is seeking a proactive Facilities Management Co‑ordinator to support both Facilities Management and Assurance & Risk teams across the council’s estate. You will coordinate day‑to‑day facilities management activities, monitor contractor performance, and maintain records for contracts and compliance.
You will assist with office moves, tenancy processes, and data collection for regulatory returns, while upholding high standards of service and safety.

As the Facilities Management Co‑ordinator , you will play a key role in supporting both the Facilities Management and Assurance & Risk teams to deliver high‑quality services across the council’s estate.
As the Facilities Management Co‑ordinator, you will:
Coordinate day‑to‑day facilities management activities across the Civic Centre and wider property portfolio.
Assist in monitoring contractor performance, raising issues and ensuring timely resolution of maintenance and compliance tasks.
Maintain accurate records for maintenance contracts, procurement activity, quotes and statutory compliance KPIs.
Assist with internal office moves, including furniture orders, layout changes and stakeholder liaison.
Administer residential tenancy processes, including renewals, variations and system updates.
Carry out Stage 1 complaint triage by gathering information, drafting responses and tracking themes.
Raise purchase orders, process invoices and approve payments up to £10,000.
Coordinate health and safety records, contractor monitoring and risk assessment documentation.
Collate data for Building Safety Act and Ofgem Community Heat Network returns.
Provide operational and administrative assistance for audits, emergency planning and sustainability targets.
We are looking for a proactive and highly organised individual to join our team who can provide reliable operational support across our facilities, compliance and tenancy management functions. We are seeking exceptional candidates with a range of skills including:
Strong written and verbal communication skills, with the ability to liaise confidently with tenants, contractors and internal teams.
Good organisational and time‑management skills, with the ability to prioritise a varied workload.
IT literacy, including confident use of MS Office and the ability to maintain accurate records across IMS, asset management systems and procurement platforms.
Experience working in customer‑facing or team‑based environments, demonstrating professionalism and a commitment to high‑quality service.
Awareness of basic property and facilities management principles, with willingness to learn council processes and procedures.
Ability to work flexibly and adapt to different tasks, supporting both Facilities Management and Assurance & Risk functions.
Accuracy and attention to detail when handling tenancy information, financial data, contractor records and compliance documentation.
Confidence in raising purchase orders, processing invoices and supporting budget monitoring activities.
Understanding of health and safety responsibilities, including contractor monitoring and risk assessment coordination.
Educated to GCSE level or equivalent.
