Salary: £29,187

Working Hours: 35 hours per week

Working Pattern: Monday - Friday

Location: Arlington, London

The role of Facilities Management Assistant

Based at our Arlington office, the FMA provides front of house reception support and works with the Contract and Facilities Officer to deliver efficient facilities and property management services. Responsibilities include reception duties, administrative tasks, compliance, liaising with colleagues, and ensuring a professional Facilities Management service.

About You

We are looking for someone with:

  • Experience in a busy customer-facing Facilities Management environment.
  • Knowledge of Health and Safety principles.
  • Experience working with contractors within Facilities Management or the built environment.
  • Proficient in Microsoft 365 applications (Excel, Outlook, Teams, Word).
  • Own car and ability to travel to other offices within the Liverpool area.

Key Responsibilities
  • Support management of contracted services and specialist contracts.
  • Serve as a first point of contact for Facilities queries and office visitors.
  • Provide advice on Facilities Management procedures and escalate issues as needed.
  • Manage incoming post, including scanning and distribution.
  • Handle reception duties, visitor badge issuance, and ID management.
  • Maintain Facilities Management records, including health and safety documentation.
  • Assist with administrative tasks like raising purchase orders.
  • Contribute to process improvements and stakeholder relationships.
  • Support health and safety and data protection compliance.
  • Manage access control and ID badge systems.
Person Specification

Essential Skills and Experience

  • Experience in a busy customer-facing Facilities Management setting.
  • Knowledge of Health and Safety principles.
  • Experience working with contractors.
  • Proficiency in Microsoft 365.
  • Own transport and ability to travel.
  • Excellent communication, attention to detail, and ability to work under pressure.

Desirable

  • Experience in a Housing Association or busy office environment.
