Job Title:
Facilities Workplace Assistant
The Facilities Workplace Assistant is responsible for supporting workplace, facilities, mailroom and front of house operations, ensuring the delivery of a professional and efficient service to the client.
Role Summary:
- Assist in delivering mailroom services and facilities duties to the client.
- Sort all externally delivered mail, including Royal Mail and courier deliveries.
- Deliver and collect mail to and from departments on site.
- Scan mail and distribute to departments as required.
- Maintain records of all incoming and outgoing mail for audit purposes.
- Operate post room equipment, including scales and franking machines, and report faults as necessary.
- Support contractor management activities with subcontractors.
- Order and distribute stationery across the site as required.
- Collect and safely store confidential waste on site.
- Complete reactive porter duties across the site.
- Assist the management team with ad hoc requests.
- Support the provision of a safe and healthy working environment and ensure compliance with all company policies and procedures, as well as client site policies, procedures and working arrangements.
- Build effective relationships with key stakeholders and client representatives.
- Assist with Front of House operations and provide cover where required.
- Utilise CBRE systems to log jobs through the CAFM system and support Health and Safety compliance.
Experience Required:
- Communication Skills
- Ability to communicate effectively with colleagues, clients, contractors and visitors.
- Ability to respond professionally to routine enquiries and requests.
- Organisation & Planning
- Strong organisational skills with the ability to prioritise tasks and manage workload effectively.
- Attention to detail when maintaining records and processing mail services.
- IT Skills
- Competent user of Microsoft Office applications and workplace technology systems.
- Ability to utilise CAFM systems and digital tools to support service delivery.
- Customer Focused
- Commitment to delivering excellent customer service and building positive working relationships.
- Health & Safety Awareness
- Understanding of the importance of Health and Safety compliance within a workplace environment.
- Ability to follow company and client procedures and contribute to a safe working environment.
