Your responsibilities:

  1. Assist in setting up in-house and external events as required.
  2. Understand the primary responsibilities related to Meeting and Events delivery, ensuring a seamless customer experience across the Workplace.
  3. Cover Front of House roles and responsibilities when needed.
  4. Proactively note, record, and address issues related to the Workplace team scope.
  5. Ensure timely logging and response to tickets raised in the helpdesk system.
  6. Assess building maintenance issues through weekly inspections and recording findings.
  7. Monitor stock levels of stationery and consumables, and place orders with suppliers.
  8. Manage internal moves within the building with the Workplace team.
  9. Collaborate with the Building Operations team and report defective H&S equipment for repairs.
  10. Support the Facilities Coordinator with vendor management and soft service support as needed.
  11. Maintain and review manuals, handbooks, and guidance notes.
  12. Manage mail operations, deliveries, and inquiries as required.
  13. Be familiar with procedures, courier services, and external contacts.
  14. Manage stock of mail-related supplies and reorder when necessary.
  15. Perform other tasks and duties as assigned.

  3. A proactive, hands-on approach and willingness to support team members.
  4. Knowledge of Facilities Management processes is preferred.
  5. Proficiency in IT skills, including Outlook, Excel, and Word.
  6. A professional, friendly, and welcoming attitude.
  7. Excellent attention to detail.
  8. Initiative and proactive work ethic.
  9. Strong communication skills.
  10. Organizational skills with the ability to prioritize tasks.
  11. A background in customer service is essential.
