Job summary

Mills & Reeve LLP is seeking a Facilities team member in Cambridge to deliver high-quality facilities services and exceptional client support. The role involves a Monday–Friday pattern from 7:30am to 6:00pm with occasional evening work for client events, reporting to the Facilities Team Leader.

Ideal candidates will have prior experience in a similar role, exposure to reprographics, strong MS Office skills, and a proactive, client‑facing approach.

Responsibilities

  • Manage incoming and outgoing post, courier services and deliveries.
  • Set up meeting rooms, events and office spaces, ensuring equipment is available and functioning.
  • Support day-to-day office operations including reprographics, stationery, and office moves.

Job description

Join our Facilities team in Cambridge and play a key role in creating an exceptional workplace experience for our colleagues, partners and clients.

The role

This is a permanent, full-time role within the Facilities team, working 7 hours per day on a Monday to Friday rota between 7:30am and 6:00pm, with occasional evening work to support client events.

Reporting to the Facilities Team Leader, the role provides a high-quality facilities service to staff, partners and clients, delivering excellent customer service and responding to queries. The post also supports reception cover and assists the reprographics team when required.

Working closely with colleagues across the Facilities team, the role plays a key part in supporting the smooth day-to-day operation of the Cambridge office.

The person

Given the responsibilities of this role, it's likely that your background and experience will include:

  • experience in a similar role
  • some exposure to reprographics systems
  • some front of house / customer service experience
  • strong Microsoft Office skills, in particular Excel and good experience of Word and Outlook

In addition, the role requires someone who:

The activities
  • Conduct regular building audits, manage facilities requests and coordinate with external contractors to ensure the office operates efficiently.
  • Manage incoming and outgoing post, courier services and local deliveries, ensuring all items are processed accurately and promptly.
  • Set up meeting rooms, events and office spaces, ensuring equipment is available, functioning correctly and ready for use.
  • Support the day-to-day running of the office through floor captain duties, stationery management, office moves, maintenance coordination and minor repairs.
  • Provide reprographics, file management and client service support, delivering a responsive and high-quality service to colleagues and clients.
