Role Purpose

We are seeking a proactive and detail-oriented Facilities Assistant to support the firm’s postal requirements and ensure that essential office maintenance checks are conducted in a timely and efficient manner.

The Facilities Assistant will play a key role in delivering a high standard of service across the firm, maintaining strong working relationships with all departments. They will be responsible for understanding the needs and expectations of our people and translating these into a responsive and effective service.

Key Responsibilities

  • Open the office at 7am, disabling the alarm and ensuring the lights are switched on ready for people to arrive to work.
  • Assisting with minor building maintenance issues, such as small repairs.
  • Carry out internal and external building checks.
  • Undertake weekly fogging in all areas of the office.
  • Available to attend site during out of hours in the case of an emergency.
  • Collection of post from local post office
  • Undertake a variety of daily, weekly and monthly checks to ensure compliance and that plant and equipment is in good order.
  • Daily checks on stationery in all business centres. Tidy and replenish where needed. Inform Facilities team when stock levels are low.
  • Opening of post, ensuring it is sorting into the correct departments
  • Ensure confidential paper waste is destroyed appropriately.
  • Maintain the shared Facilities email inbox and respond to requests accordingly.
  • Act as point of contact for contractors when the Facilities Team Leader / Co-ordinator is out of the office and work flexibly to allow them access outside of normal hours where required.
  • Assisting with office moves including moving furniture and other equipment when needed.

Person Specification

  • Clear communication, organisational and time management skills.
  • A good understanding of Health and Safety compliance with a view to maintaining a safe working environment.
  • Reliable with excellent time keeping.
  • Practical approach with good problem solving skills.
  • Flexible and dependable, able to take the initiative.
  • Able to remain calm under pressure and work to tight deadlines.
  • Conscientious, approachable and enthusiastic.

Technical Knowledge

  • Some experience of working within a Facilities, service led team would be advantageous.
