Job summary

Pathfinder International is seeking an Executive Secretary / PA (Director Support) to support senior leadership from Bristol, with remote work and occasional travel to Birmingham, Bristol and London. The role focuses on setting up a Director's office, handling diaries, communications and reports, and coordinating meetings and travel.

The ideal candidate will have experience as an executive secretary/PA, advanced IT skills, excellent communication, and a proactive approach to keep leadership

  • Compose non-routine correspondence and compile reports.
  • Transcribe dictation and create documents using word processing/spreadsheet tools.
  • Arrange meetings, accommodation and travel.
  • Screen telephone calls and welcome visitors.
  • Maintain records/files and manage expenses/purchase orders.
  • Take notes and support leadership meeting arrangements.
  • Support recruitment tasks and records management.

Executive Secretary / PA (Director Support)

Location: Bristol (fully remote with occasional travel to Birmingham, Bristol and London, possibly once a month)

If you're an organised, confident administrator who enjoys being the difference between "busy" and "business as usual", this is a brilliant opportunity. Our Client is hiring for a reputed client and you'll be supporting a newly appointed Director-helping their office bed in smoothly, enabling key meetings, and supporting the wider Leadership Team rhythm.

What you'll be doing:

  • Setting up and supporting a Director's office from the ground up
  • Managing diaries and email traffic, including careful triage and prioritisation
  • Composing non-routine correspondence and compiling reports
  • Transcribing dictation and typing documents using word processor/spreadsheet tools
  • Arranging meetings, accommodation and travel
  • Screening and directing telephone calls and welcoming visitors
  • Maintaining records/files and managing expenses/purchase orders
  • Taking notes and supporting leadership meeting arrangements
  • Supporting recruitment tasks and records management

What you'll bring:

  • Experience as an executive secretary / personal assistant
  • Advanced computer literacy and strong working knowledge of relevant software packages
  • Excellent communication skills-verbal, written and confident when dealing with different backgrounds and cultures
  • Strong relationship-building skills and the ability to work flexibly, at pace, with professionalism
  • Natural ability to anticipate needs, manage expectations, and stay one step ahead

Additional information:

  • Working pattern: Mon-Fri, 9-5 (37 hours per week)
  • Assignment length: 3 months, with the possibility of extension
  • Pay rate: £15.46 per hour
  • Start date: ASAP
