Job summary

Job description

A quick look at the role

We are currently looking to recruit an Executive Personal Assistant (EPA) to support our Leadership team by providing professional secretarial and administrative support. The EPA will act as the Directors’ first point of contact with people from both inside and outside the organisation. You will provide high quality personal and administrative assistance to help make the best use of their time by dealing with secretarial and administrative tasks.

Your core responsibilities

  • Organise and maintain diaries, and screen phone calls
  • Deal with incoming email and post, often corresponding on behalf of the Director
  • Arrange travel itineraries, visas, and accommodation
  • Organise, coordinate and prepare managers for meetings
  • Occasionally attend meetings to take dictation and minutes and producing documents, briefing papers, reports, and presentations.
  • Process expense reports
  • Meet and greet visitors at all levels of seniority both internal and external
  • Help with onboarding, equipment setup, SharePoint management, and ad-hoc duties to support the team and leadership.

Our essential requirements

  • Previous experience of supporting at Director level
  • Advanced IT Skills in MS Office applications including Word, Powerpoint, Outlook and Excel
  • Well organised with excellent attention to detail
  • Able to demonstrate confidentiality and discretion at all times
  • Excellent time management with the ability to prioritise
