Job summary

Royal Mencap Society is seeking an Executive Personal Assistant to join the Executive Support Team. The role will manage the Directors’ diaries, coordinate meetings and travel, and provide proactive support with discretion.

You will be highly organised, able to handle competing priorities, collaborate with senior leaders, and support recruitment and onboarding. Flexible location and part-time hours offer a balanced, impactful role within a respected charity.

Qualifications

  • Previous experience in a similar role is essential.
  • Experience working with people with a learning disability, or willingness to learn.
  • Ability to manage flexible, last-minute changes in a dynamic organisation.
  • Confidence using Microsoft Teams, PowerPoint and other systems with senior leaders.
  • Understanding of financial administration and budgets.
  • Experience managing diaries, correspondence and telephone calls.
  • Experience supporting senior leader recruitment and onboarding.
  • Confidence acting as first point of contact for stakeholders.

Responsibilities

  • Oversee the busy diaries of the Directors and prioritise meetings.
  • Coordinate projects, meetings and key events; track actions.
  • Take minutes and support senior leaders with administrative tasks.
  • Work with discretion to ensure leaders have what they need to be effective and visible.
  • Build relationships across the organisation and with external stakeholders.

Job description

We have an exciting Executive Personal Assistant role available to join our Executive Support Team.

This role will be open to offer part time hours (30 hours per week). We are flexible around where you are located.Travel to London and other locations would be minimal - but we would encourage occasional travel for team connectivity.

As an Executive Personal Assistant you will be at the heart of the directorate's business operations and activities, taking ownership of the people and business needs of the Directors and the leadership teams. You will be anticipating the needs of the Directors and their team members and help them stay focused on their priorities by resolving operational and administrative issues before they arise. You will oversee the busy and ever-changing diaries of the Directors, prioritising meetings and scheduling time for reading, thinking and preparing as well as working with absolute discretion to ensure that the executive directors have everything they need to be effective and visible leaders.

What will you bring to the Executive Personal Assistant role?

We're looking for someone who shares Mencap's commitment to improving the lives of people with a learning disability and is passionate about promoting equity, diversity and inclusion in everything they do.

You'll be highly organised and adaptable, with the ability to manage multiple priorities in a fast-paced environment, confidently changing direction and re-prioritising when needed. Strong communication skills are essential, as you'll be working with a wide range of internal and external stakeholders, tailoring your approach and messaging to different audiences.

You'll have experience coordinating projects, meetings and key events, ensuring actions are tracked and delivered effectively. Confidence in taking minutes and supporting senior leaders through excellent administrative and organisational skills is important.

We're looking for someone who demonstrates professionalism, integrity and resilience, building positive relationships across the organisation and working collaboratively with colleagues at all levels. Above all, you'll be someone who takes ownership of your work and is always looking for ways to improve processes and make a positive impact.

Essential experience :
  • Previous experience in a similar role is essential.

  • Confidence using Microsoft Teams, PowerPoint and other systems to produce documents and presentations in collaboration with senior leaders.

  • Experience supporting senior leader recruitment and onboarding.
  • Confidence in acting as the first point of contact for key stakeholders.

£13.45 per hour + Excellent Mencap benefits
