As an Executive Co-ordinator, you will support the Executive Director by ensuring systems, resources, and capacity are in place to achieve ambitious goals. This central role within a small, dedicated team involves collaborative oversight, coordination, and support across all activities, as well as close liaising with colleagues at WMF headquarters and worldwide.

You will be a highly organized, execution-focused, and experienced professional with problem-solving skills, initiative, and the ability to prioritize among competing demands. As a key member of the WMF Britain team, you will significantly contribute to advancing WMF's mission in and from the UK.

Key Responsibilities
  • Executive support: Serve as the primary contact for the Executive Director, managing daily tasks, proactively handling the diary, and assisting with planning.
  • Relationship management and engagement: Support stakeholder and partnership development through research, preparing relevant materials, follow-up management, and CRM data entry.
  • Team planning and coordination: Collaborate with the WMF Britain team to ensure proper resourcing and coordinated efforts to meet operational goals.
  • Internal communication: Manage communication with the Chair, trustees (including minute-taking), WMF head office in New York, and affiliate offices.
  • Office management: Maintain efficient administrative systems, record-keeping, and access to resources from head office, liaising with accountants and IT teams as needed.
  • Systems and processes: Monitor and improve working practices, systems, and processes, and implement changes.
  • Special projects: Lead and advance special initiatives assigned by the Executive Director, translating strategic opportunities into actionable plans.
Qualifications
  • At least 5 years of experience in executive management support or related roles.
  • Strong execution skills with experience in managing administrative and organizational functions.
  • Project coordination and management experience, capable of leading change initiatives.
  • Proficiency in Microsoft Office, virtual meeting software, and CRM systems.
  • Excellent oral and written communication skills.
  • Strong interpersonal skills for building relationships across various levels and stakeholders.
  • Flexible, positive, and creative attitude.
  • Interest and awareness of cultural heritage.
  • Willingness to work outside normal hours and travel as needed.
