Title of job: Executive Assistant to the CEO

Location: Hybrid working between home and head office in Royston

Hours: 37 hours per week

Contract: Permanent Full-Time

Reports to: CEO

Overview:

You will be the first point of contact with a wide range of stakeholders including the operations team, trustees and senior executives from external organisations, therefore you will need to uphold high standards of professionalism, be detailed oriented and extremely organised. You will also be in charge of data processing including Subject Access Requests (SARS) and Data Risk Audits. Strong administrative and data handling skills are essential, together with an enthusiastic and flexible approach to work, good interpersonal skills and a genuine passion and drive to make a difference to the children and young people and their families.

Reporting to:

Chief Executive Officer of Nessie, working alongside a dynamic Operations Team.

Main duties and responsibilities

  • Supporting the CEO and Operations Team with administration and project-management tasks including, but not restricted to, streamlining administrative processes and procedures, assembling reports and assisting with tender applications.
  • Critically evaluate business processes to ensure they are efficient. Identify weaknesses and develop and create improvements.
  • The compilation, analysis and presentation of data sets to demonstrate measurable impact.
  • Production of in-depth management information, reporting and dashboards using excel, power BI etc
  • Work closely with colleagues across the organisation to ensure deadline driven work set by the CEO is completed on time.
  • Provide direct executive support to the CEO prioritising commitments based on business importance, and ensuring smooth day-to-day operations by coordinating schedules with internal and external stakeholders.
  • Working with the CEO to help identify and develop prospective strategic business opportunities that complement current services which contribute to the achievement of organisational objectives.
  • Liaising with the Operations Team on publicity and promotion.
  • When other staff are away from the office, responding to phone and email enquiries, adhering to established policies at all times.
  • Assisting with hosting larger events when needed.
  • Attending and overseeing admin for staff meetings.
  • Supporting the company secretary with administration and coordination of Board Meetings.
  • Undertaking any other duties as may reasonably be expected.

  • To contribute to the development of best practice within the service.
  • To maintain up-to-date knowledge of legislation, national and local policies and procedures in relation to Mental Health and Primary Care Services.

What you will need to succeed in this role

  • Well organised and able to work to tight deadlines, with the ability to work unsupervised, multi-task and prioritise a varied workload.
  • Personable and able to create good working relationships easily, with the ability to organise others when necessary.
  • Ability to manage and have professional relationships with senior members of the team.
  • Excellent communication skills, diplomacy, interpersonal skills and written skills.
  • Proven ability to maintain confidentiality and discretion.
  • Proven success in a data handling role.
  • Experience of working with and manipulating data sets whilst working towards the highest level of data accuracy.
  • A strong understanding of each of the data handling principles.
  • Enthusiastic, self-motivated with sound judgement and an ability to use initiative and problem solve.
  • Solution focused with an attitude of continuous innovation and improvement.
  • Experience in establishing strong relationships across a range of stakeholders, with a focus on interdepartmental communication.
  • Highly skilled in the use of Excel, Outlook, PowerPoint, Teams. Good experience with data processing and CRM platforms.
