Job summary

Job description

Executive Assistant

Neuberger Berman Group LLC, London, United Kingdom

Primary Responsibilities:

  • Provide administrative support to the Head of Intermediary Sales
  • Manage diaries and meetings across various time zones, organise internal and external meetings, schedule Zoom calls, and book rooms
  • Prepare materials for meetings
  • Manage inboxes by identifying and addressing urgent and important emails
  • Input data into Salesforce for client meetings and contacts
  • Provide phone coverage and message management
  • Coordinate travel arrangements including flights, hotels, visas, ground transportation, and travel itineraries
  • Process business expenses and reconcile monthly corporate card statements
  • Complete compliance forms according to Neuberger Berman's policies
  • Manage input of Senior Managers and Certification Regime (SMCR) tracker
  • Complete mandatory compliance training and affirmations, with regular reminders for the Head of Intermediary Sales
  • Provide administrative coverage for other Executive Assistants

Key Requirements / Qualifications:

  • Experience as a senior executive assistant, preferably in financial services
  • Ability to work effectively in a fast-paced environment
  • Excellent organizational and communication skills
  • High attention to detail
  • Strong time management and prioritization skills
  • Resourcefulness and adaptability to changing priorities
  • Proactive follow-up and issue anticipation
  • Excellent manners and client service skills in person and on the phone
  • Discretion in handling confidential information
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
