Job summary

Pharmacy2U Ltd. is seeking an Executive Assistant in Leeds to support the CEO and senior leadership. The role covers diary management, board liaison, briefing materials, and travel planning within a fast-paced, hybrid environment.

Responsibilities

  • Manage a complex executive diary and prioritise meetings effectively.
  • Coordinate meetings and appointments, aligning stakeholders.
  • Prepare agendas, briefing materials and supporting documentation.
  • Support Board and executive leadership meetings with planning and logistics.
  • Coordinate Board papers, presentations and executive communications.
  • Act as key contact for senior internal and external stakeholders.
  • Manage incoming correspondence and timely responses with escalation as needed.
  • Organise leadership events and company meetings with logistics.
  • Coordinate domestic and international travel arrangements.
  • Handle confidential information while supporting projects and continuous improvements.

Job description

Role: Executive Assistant

Location: Leeds, LS15 8GB We operate a hybrid schedule, meaning 2-3 days a week in the office based at Thorpe Park, Leeds.

Salary: £Competitive DOE, plus extensive benefits

Working hours: Monday - Friday 37.5 hours per week. We work on a core hours principle. Our core hours are 09:30 - 16:00; you can work around these to suit you!

The Executive Assistant to the CEO is a high-trust, high-visibility role responsible for ensuring the CEO operates at maximum effectiveness. This is far more than diary management - the successful candidate will act as a trusted right hand, gatekeeper, and extension of the CEO across internal leadership, the Board, investors, and external stakeholders. The role demands exceptional discretion, sharp commercial judgement, and the polish to represent the CEO and the business credibly in investor and Board settings.

What you'll be doing?
  • Manage a complex and fast-paced executive diary, ensuring priorities are effectively coordinated and time is used efficiently
  • Coordinate meetings and appointments, proactively identifying scheduling challenges and ensuring all stakeholders are aligned
  • Prepare meeting agendas, briefing materials and supporting documentation to enable effective decision-making
  • Provide comprehensive support for Board and executive leadership meetings, including planning, logistics and follow-up actions
  • Coordinate the preparation and distribution of Board papers, presentations and other executive communications
  • Act as a key point of contact for senior internal and external stakeholders, maintaining professional and effective relationships
  • Manage and prioritise incoming correspondence, ensuring timely responses and appropriate escalation where required
  • Organise leadership events, company meetings and other business activities, managing all associated logistics
  • Coordinate domestic and international travel arrangements, ensuring seamless planning and contingency management where needed
  • Handle confidential and commercially sensitive information with discretion, while supporting projects, reporting and continuous improvements across the executive office
Who are we looking for?
  • Proven experience providing executive support to a CEO, Executive Team member, or Board-level stakeholder within a fast-paced business environment
  • Demonstrated experience coordinating senior leadership or Board meetings, including agendas, papers, logistics and action tracking
  • Strong written and verbal communication skills, with the ability to draft, proofread and manage professional correspondence for a range of audiences
  • Excellent organisational and prioritisation skills, with the ability to manage multiple deadlines and changing priorities effectively
  • Experience building positive working relationships with senior stakeholders, both internally and externally
  • High levels of discretion and professionalism when handling confidential, commercially sensitive or personal information
  • Strong proficiency in Microsoft Office and collaboration tools, with the ability to produce high-quality documents, presentations and reports
  • Experience coordinating complex travel arrangements, events and executive-level meetings across multiple locations and time zones
  • A proactive and solutions-focused approach, with the ability to anticipate needs, identify improvements and work independently
  • Sound judgement, resilience and adaptability, with the ability to remain effective in a dynamic and high-pressure environment
Desirable
  • Experience supporting a publicly listed, regulated, private equity-backed or investor-backed business
  • Exposure to corporate governance, company secretarial or Board administration processes
  • Experience supporting investor relations activities, including shareholder meetings, results presentations or investor events
