Job summary

Wates is seeking an experienced Executive Assistant to provide high-level support to the Managing Director in our London offices. The role is hybrid, combining in-office and remote work to manage a demanding diary, travel, and board-facing tasks with professionalism and discretion.

You will coordinate complex schedules, prepare briefing materials, and drive critical projects while building relationships with senior stakeholders.

Qualifications

  • Previous experience in an Executive Assistant or Personal Assistant role supporting senior leadership.
  • Excellent organisational and planning abilities.

Responsibilities

  • Manage a complex and demanding diary, coordinating meetings, travel and events.
  • Organise business and personal travel arrangements, ensuring seamless planning and execution.
  • Prepare meeting packs, agendas, presentations and briefing documents.
  • Attend meetings, produce accurate minutes and track actions through to completion.
  • Draft, proofread and manage correspondence, reports and business documentation.
  • Proactively monitor commitments, deadlines and key business priorities.
  • Work closely with board members and senior stakeholders to provide exceptional support.
  • Produce reports, research and information to support decision-making.
  • Maintain efficient electronic and paper filing systems.
  • Support with financial administration and record keeping where required.
  • Lead and deliver specific projects from initiation through to completion.
  • Continuously improving processes and systems to enhance efficiency and effectiveness.
