Job summary

Allen Associates in Oxford is seeking an experienced Executive Assistant to provide high-level support to senior leaders. You will manage complex diaries, coordinate international travel, and prepare strategic documents in a fast-paced, expanding international organisation.

The role is full-time with a hybrid setup (three in-office days) and offers 25 days holiday plus Christmas closure, pension, and development opportunities.

Qualifications

  • Proven experience as an Executive Assistant or Personal Assistant supporting senior executives.
  • Excellent organisation with the ability to prioritise effectively.
  • Strong communication skills and relationship building across all levels.
  • Discretion and confidentiality with sensitive information.
  • Proficiency in Microsoft Office Suite (PowerPoint, Word, Excel).
  • Experience coordinating international travel and complex calendars.

Responsibilities

  • Managing complex diaries and scheduling meetings for senior executives across domestic and international locations.
  • Coordinating travel arrangements, including flights, accommodation, and itineraries.
  • Preparing presentations, reports, and correspondence to support decisions.
  • Liaising with internal and external stakeholders at all levels.
  • Supporting expense management, invoice processing, and record-keeping.
  • Drafting agendas, minutes, and business reports.
  • Supporting ad hoc administrative projects to boost efficiency.
